Job Description :
The ASEAN Secretariat was established in 1976 by the Foreign Ministers of the ASEAN Member States with basic functions of providing greater efficiency in the coordination of ASEAN organs and for more effective implementation of ASEAN projects and activities. It is also envisioned to be the nerve centre of a strong and confident ASEAN Community that is globally respected for acting in full compliance with its Charter and in the best interest of its people.
In alignment with the ASEAN 2025 and Key Aspirations of the three pillars of the ASEAN Community, namely the ASEAN Political-Security Community (APSC), the ASEAN Economic Community and the ASEAN Socio-Cultural Community, supported by the Department of Community and Corporate Affairs, the ASEAN Secretariat is inviting qualified Indonesian Citizens or ASEAN Nationals who are already residing and eligible to work in Indonesia to apply for the position of Officer for Executive Support Division, Office of Secretary-General of ASEAN.
Remuneration and Benefits:
Successful candidate will be offered a basic salary of IDR 16,835,950 and attractive remuneration package including monthly transportation allowance, outpatient medical reimbursement, hospitalisation & life insurance, annual bonus of a month’s basic salary, and gratuity. Subject to good performance during the probation, the candidate will be offered a fixed term contract of three (3) years, inclusive of the six-month probationary period. Please note that ASEAN Secretariat Staff shall not be retained in active service beyond the age of 60 years.

Reporting to the Director and Senior Officer of Executive Support Division, the Officer shall be responsible for the following duties:
1. Provide substantive, technical and administrative support to the Office of the Secretary-General:
- Support the preparation of substantive documents, which includes drafting and reviewing letters; preparing the reports of meetings; reviewing remarks, video messages, forewords, press releases and other documents; amongst others, as undertaken by the Division.
- Liaise with the relevant divisions across all the departments of the ASEAN Secretariat in coordinating follow-up actions and responses.
- Research, fact-check, analyse and provide situation reports on key issues and events, as assigned.
- Attend relevant meetings, conferences, seminars, as assigned.
- Coordinate and provide logistical support in organising certain events hosted by the Secretary-General of ASEAN.
- Provide administrative and logistical support in organising the EXCOM Meetings.
- Prepare the note-to-file of EXCOM Meetings.
- Ensure that all incoming mail received by the Division are properly registered, archived and distributed in an accurate and timely manner.
- Maintain a knowledge management system of the Division’s documents, particularly by maintaining an organised filing system in print and digital form, and to continuously seek ways to improve the Division’s knowledge management and database efficiency.
- Provide support in the preparation of the Division’s budget for the ASEAN Secretariat’s Annual Operating Budget (AOB) as well as assist in updating the Travel and Hosting Budget Utilization reports.
- Provide support in the preparation of administrative documents and logistical arrangements for missions and overseas meetings, including settlement of ASEC travel claims and other matters post-mission.

- Advanced university degree (Master’s or equivalent degree) in Public Policy, Management, International Relations, or an appropriate related field or discipline; or Bachelor degree with a minimum two (2) years relevant work experience in policy, research and technical role, having technical skills in the relevant area, shall also be considered.
- Proven skills in problem solving in a complex organisational environment and in work planning.
- Demonstrated ability to develop, implement, monitor and review policy and procedures.
- Demonstrated ability to plan and organise tasks and work flows, with proven ability for accuracy under pressure and adherence to deadlines.
- Very good oral and written communication skills and strong interpersonal skills, including experience in cross-cultural environment and international settings.
- Demonstrated ability to develop and maintain sound working relationships with stakeholders.
- Demonstrated commitment to collaborative work practices.
- Competency in computer skills with adequate knowledge of Microsoft Office and Outlook where relevant to the position.
- Sound command of English, both written and spoken.
- Ability to demonstrate and perform with grace under pressure.
