Back Office Administrator Agent - Contact Center

This is not a remote/hybrid role. Full on site requirement.
We are seeking a diligent and detail-oriented Back Office Admin Agent to join our team. The successful candidate will be responsible for performing a variety of administrative tasks that ensure the smooth operation of our contact centre's back-office functions. This role includes conducting quality checks on new sales, uploading new contracts, following up on issues, and processing data accurately.

Key Responsibilities:

  • Quality Checks on New Sales:
    • Review and verify the accuracy and completeness of sales data.
    • Ensure all sales meet company standards and compliance requirements.
    • Identify and report any discrepancies or errors to the relevant department.
  • Contract Management:
    • Upload new contracts into the system with precise attention to detail.
    • Maintain an organised digital and physical filing system for contracts.
    • Ensure all contracts are processed in a timely manner and meet all company guidelines.
  • Issue Resolution:
    • Follow up on any sales-related issues, ensuring prompt and effective resolution.
    • Coordinate with other departments to address and resolve issues.
    • Keep detailed records of all issues and resolutions for future reference.
  • Data Processing:
    • Accurately enter and update data in relevant systems.
    • Maintain the integrity and confidentiality of data at all times.
  • General Administrative Support:
    • Assist in other administrative tasks as needed to support the smooth operation of the contact centre.
    • Provide back-up support to other team members during peak times or absences.
You will be contracted to work a nine hour shift between the hours of 9am to 8pm Monday to Friday, inclusive of 1 x 10 minute morning break, 40 minute break for lunch, 1 x 10 minute afternoon break. You will be required to work 1-2 Saturdays per month, 9am to 5.30pm, inclusive of 1 x 10 minute morning break, 30 minute break for lunch, 1 x 10 minute afternoon break.

Key Skills and Competencies:
  • Attention to Detail: High level of accuracy in performing tasks.
  • Organizational Skills: Ability to manage multiple tasks and priorities effectively.
  • Problem-Solving: Ability to identify issues and implement solutions promptly.
  • Data Management: Strong experience in data entry and processing.
  • Communication Skills: Excellent verbal and written communication skills.
  • IT Proficiency: Proficient in MS Office Suite, particularly Excel and Word, and experience with CRM systems is a plus.
  • Teamwork: Ability to work effectively both independently and as part of a team.
Qualifications:
  • Previous experience in an administrative or back-office role, preferably within a contact centre environment.
  • Strong understanding of customer service processes and sales cycles is desirable.
