Purpose of this role
To provide high quality, customer focused support for IMI Programme & Delivery activities including all aspects of programme planning and co-ordination, ensuring that all programmes are operationally designed so they can be delivered effectively and cost efficiently. Working with the wider IMI team to manage and drive the provision of a quality client service to internal and external clients. The appointee will report to the Executive Education Services Manager, on the Programme & Events delivery team.

Key Responsibilities:

  • Efficiently plan and co-ordinate all elements of programmes from conception to completion.
  • Act as the key point of contact for participants, clients, programme directors and contributors.
  • Responsible for the up-front planning of programmes and ensuring that all services are available for participants as required.
  • Perform pre- and post-programme administration as required.
  • Responsible for maintenance of programme budgets, including raising requisitions and receipting goods and services in a timely manner.
  • Procure all books, case studies, reading materials, psychometric instruments, distribute pre-reading and other vital information as required.
  • Secure classroom materials in advance for preparation, duplication and distribution and all other support materials required.
  • Prepare, proof-read and maintain participant materials placing emphasis on visual presentation and quality.
  • Maintain accurate and comprehensive records - course notes, attendance, assignment grades etc.
  • Build and maintain effective relationships with participants, client companies, programme directors and contributing faculty; proactively deal with any queries or problems, escalating if necessary.
  • Attend team meetings and contribute to the overall success of the team through sharing of information and effective teamwork.
  • Perform administrative tasks within the parameters and guidelines of accrediting bodies and Programme Unit / Delivery guidelines as set out in the Programme Unit / Delivery manuals.
  • Liaise with relevant IMI staff to ensure a quality service is achieved.
  • Liaise with external customers to ensure that projects are scoped, scheduled and delivered to meet with expectations.
  • Presentations to participants Canvas (Learning platform) demonstrations, introduction of faculty and guest speakers to the class may be required on occasion.
  • Provide information on specific programmes to prospective participants, client organisations and to colleagues in other parts of the institute.
  • Receive and decisively act on all feedback provided by participants and their organisations.
  • Effectively perform other related duties and ad hoc tasks and projects as required e.g. Support the delivery of IMI events as part of the Programme & Events delivery team; and the wider IMI team if required.

Work Location and Virtual Work:
This role is based at IMIs headquarters in Dublin. Travel within Ireland and, occasionally, internationally is required to attend meetings, conferences and client engagements.

IMI recognises the importance of flexible work arrangements and promotes a hybrid work model that combines in-person and virtual work. The employee has the flexibility to work remotely for a part of their working hours, subject to operational requirements and the agreement of their line manager as outlined in the Hybrid and Flexible working policy.

Candidate Requirements
  • At least 2 years experience in an administration role (ideally in a programme co-ordination role). Experience working in a commercial customer service environment would be preferable.
  • Superior organisational skills, be self-driven, well organised, and able to work independently with initiative and a hands-on execution style.
  • Ability to prioritise conflicting demands to meet deadlines.
  • Ability to liaise effectively with individuals at all levels in the organisation is an essential requirement of this role.
  • Ability to work on own initiative.
  • Independent problem-solving skills, analytical skills and decision-making skills are essential elements of this role.
  • Flexibility in a team environment and a willingness to take on extra work as required is essential.
  • Excellent communication skills both written and verbal.
  • Meticulous attention to detail and ability to take full responsibility for closing off tasks.
  • Previous experience working in an L&D environment an advantage
  • The ability to build and maintain a personal ethos of high performance.
  • Project management skills an advantage.
  • Takes a broad and deep interest in the success and development of the Institute.
  • IT: (Excel advanced, Microsoft Word; Power Point; Teams. Zoom. Proficiency with CRMs).
  • Previous experience with Canvas Learning platform an advantage.
  • You may be required to work outside normal hours on occasion. You may also be required to travel on occasion.
  • Results-oriented, with demonstrated ability to deliver deadlines in a dynamic environment.
  • Positive, enthusiastic, energetic
