Transport / Logistics Coordinator

We are delighted to announce we are currently recruiting for a Transport/Logistics Coordinator for our expanding business in Pure oil for our head office in Wexford. In this role, you will be responsible for planning, coordinating, and overseeing transportation activities to ensure the efficient movement of goods both internally & externally within the company. This role involves managing the day-to-day logistics operations, maintaining transport schedules, and liaising with carriers to ensure timely delivery of shipments. The ideal candidate must be organized, detail-oriented, and able to work in a fast-paced environment while ensuring cost efficiency and compliance with legal and safety regulations.
Key Responsibilities:
- Coordinate Transportation Activities: Plan, organize, and track the shipment of goods, ensuring on-time delivery to customers and between company locations.
- Liaison with Carriers: Work with third-party logistics providers, freight forwarders, and transport companies to negotiate rates, book shipments, and resolve transportation issues.
- Manage Schedules and Routes: Develop and maintain optimal transport schedules and routes for timely deliveries, considering factors like distance, cost, and delivery windows.
- Monitor Shipment Status: Track shipments from dispatch to delivery using software systems and communication with carriers. Resolve delays or unexpected issues promptly.
- Documentation and Reporting: Prepare shipping documentation, including bills of lading, customs paperwork, and invoices. Maintain accurate records for audit and compliance purposes.
- Cost Control: Analyse and minimize transport costs while ensuring service quality, making recommendations for cost-effective shipping solutions.
- Ensure Compliance: Ensure all shipments comply with applicable transport, safety, and environmental regulations, including HSE guidelines.
- Customer Service: Communicate with internal departments and customers to provide status updates, address delivery issues, and manage expectations.
- Inventory Coordination: Work closely with the warehouse team to coordinate inventory levels, ensuring products are available for shipment.
- Use Logistics Software: Utilize transport management systems (TMS) and logistics software to plan, execute, and monitor shipments.
- Supplier Management: Evaluate and maintain relationships with transport providers, ensuring they meet company standards and performance metrics.
Education:
- A degree in Logistics, Supply Chain Management, Business Administration, or a related field is preferred.
- Relevant certification is an advantage.
- 4+ years of experience in transport coordination, logistics, or a similar role.
- Experience working with transport management systems (TMS) and other logistics software is highly desirable.
- Strong organizational and time management skills.
- Excellent communication and negotiation skills to manage relationships with carriers and customers.
- Analytical skills with the ability to optimize routes, reduce costs, and improve efficiency.
- Problem-solving abilities to handle unexpected transportation challenges.
- Proficiency in Microsoft Office Suite (Excel, Word, Power Point).
- Knowledge of customs regulations, freight forwarding, and shipping documentation.
- Attention to Detail: Ensures accuracy in documentation and data entry to avoid costly mistakes.
- Time Management: Able to manage multiple tasks and prioritize effectively in a high-pressure environment.
- Adaptability: Quickly adjusts to changing circumstances, such as unexpected delivery delays or shifts in shipping requirements.
- Team Player: Works collaboratively with different departments, such as warehousing, customer service, and sales.
- Customer Focus: Provides excellent service to both internal stakeholders and external customers by resolving issues and maintaining strong communication
