We are looking for a competent Programme Coordinator to undertake a variety of administrative and execution tasks within A4D's initiatives in Malaysia. This role offers a fantastic opportunity for individuals interested in contributing to the frontline of an NGO. Medical or charity experience is not a necessity but willing and being able to make a difference is.
The primary responsibility of the role is to lead the execution of the Hello Type1 (HT1) Programme in Malaysia, ensuring successful outcomes and fostering engagement with the T1D Community. Additionally, the Programme Coordinator will play a pivotal role in supporting the implementation of the A4D Clinic Support Programme (CSP), collaborating closely with partner HCPs in hospitals across Malaysia.
The Programme Coordinator will actively contribute to the development, delivery, and coordination of both the HT1 and CSP programmes throughout Malaysia. This role requires strong planning, coordination, and communication skills, ensuring the successful implementation of defined activities in collaboration with various stakeholder groups, including HCPs, A4D local partners, industry partners, suppliers, and other A4D staff.
Beyond organisational skills, genuine interest and empathy for patients and their families are crucial aspects of this role. The Programme Coordinator will be expected to visit partner clinics as well as home of individuals with T1D supported by A4D throughout the country.
This position reports to the A4D Digital Innovation Manager. Working hours are flexible however should align with the expectations of 20 hours per week and minimum 60 hours per month on average
ROLE AND RESPONSIBILITIES
Hello Type1 (HT1)
  • Implement local activities planned for HT1 Malaysia, both online and offline, encompassing planning, execution, and monitoring. This includes diverse initiatives such as online patient workshops, hybrid training for healthcare professionals, diabetes awareness campaigns, and local exhibitions.
  • Actively promote HT1 programme through healthcare community in Malaysia, optimising outreach to the people with T1D and their families. This includes but not limited to conducting online/physical HT1 meetings with partner HCPs and medical societies, delivering posters/flyers to clinics/hospitals across the country.
  • Research patient support groups and make sure to promote HT1 through those groups.
  • Lead peer support activities (e.g., through online or face-to-face workshops) for T1Ds and family caregivers.
  • Support the adaptation of materials from English to Bahasa Malay language (e.g. marketing materials, Power Point presentation, Facebook posts); ensuring that all materials are relevant to local culture.
  • Support and facilitate interviews with members of the local T1D community.
  • Participate in the creation and localisation of content aligned with the Hello Type1 programme, (12 new articles, 12 infographics, and 2-3 videos every year). Provide day to day life relevant pictures or video to illustrate the content.
Clinic Support Programme (CSP)
  • Ensure timely submission of monthly report using standardised CSP Tracker from all A4D partner hospitals across Malaysia.
  • Manage the tracking and monitoring of the A4D Clinic Support Programme, which includes ensuring the completion of the monthly report template from each partner clinic, overseeing the patient data updates, inventory management, and ensuring sufficient medical supplies are issued to the clinics and available for the T1D patients.
  • Collaborate closely with suppliers to ensure prompt and efficient procurement and delivery of medical supplies to A4D partner clinics.
  • Perform an annual stock audit at each A4D partner clinic, aligning it with the clinic visit schedule.
  • Define action plans with appointed specialist doctors for individual cases with identified issues and follow up closely to ensure improved outcomes. All these must be documented in the monthly report for A4D Management.
  • Make regular visits to A4D partner hospitals across Malaysia (e.g. 1 visit/site/year) to oversee the CSP implementation in collaboration with the relevant partner clinics and HCPs.
  • Visit patients at home on a regular basis (e.g. 1 – 2 visits per quarter, as appropriate) to better assess their unmet needs and those of the family, as well as completion of a detailed home visit report in each case.
General Operations & Support
  • Ensure strict compliance with A4D’s administrative and financial protocols pertinent to the implementation of A4D initiatives.
  • Conduct other tasks or provide assistance in relation to A4D activities in Malaysia as may be requested from time to time, including but not limited to T1D Family Camps and HCPs training.
  • Support implementation of the A4D Sponsor a Child programme, which includes completion of the application form and soliciting information required for the 6-monthly update reports, in close collaboration with A4D staff and other relevant stakeholders.
  • Build and maintain relationships with stakeholders like partner clinic HCPs, relevant government agencies, NGOs, T1D Community, industry partners to ensure their involvement, support, and collaboration in the A4D programmes.
  • Work with the Communications Manager to gather appropriate photo and video content as required during A4D related activities.
  • Ensure timely response to communications related to work, which includes checking email and text message daily except weekends/ public holidays/ vacations.
  • Complete the online onboarding training within the first month of employment and ensure timely completion of on-going training via the A4D Webinar Series related to T1D diagnosis and management.
  • Undertake any other duties as may reasonably be assigned by the A4D Management, from time to time, including willingness to support colleagues during busy periods.
QUALIFICATIONS AND EXPERIENCE
Degree, diploma or equivalent in any professional qualification.
Degree in a relevant field such as project management, non-profit management, public. health, social work, or a related discipline is an advantage.
Minimum 2 years’ experience in programme management in non-profit organisations, government agencies, healthcare institutions, healthcare industry or other relevant settings.
Prior knowledge or experience in diabetes or healthcare would be beneficial.
ESSENTIAL SKILLS
Genuine commitment to alleviating the suffering of children with T1D and their families.
Excellent interpersonal and communication skills; excellent follow-through and persistence when corresponding with relevant stakeholders including, HCPs, T1D patients, families, and industry partners.
Superior time management and ability to meet deadlines.
Ability to work both independently and as part of a team; and to travel solo to various locations in Malaysia.
Self-motivated, highly responsible and a team player.
Proficient in a variety of computer applications i.e. Excel, Word, Power Point.
Good command of written and spoken Bahasa (Malay) and English.
