You have extensive experience in administrative activities and are driven by providing excellent service to both internal and external stakeholders. You are comfortable working with strict deadlines, and you are highly organised, with clear prioritisation skills. You accomplish goals, complete tasks, and achieve results in a timely and accurate way. Demonstrating good attention to detail and excellent communication skills, you are confident to work both autonomously and in a coordinated fashion to deliver on our People agenda. You enjoy working in a vibrant and changing, multidimensional environment and have an appreciation of the mix in strategic, tactical and operational tasks. You demonstrate a passion for finding better ways and identifying improvements. You have highly developed communication skills with the ability to lead and develop others as well as strong coaching and mentoring techniques that support your genuine interest in people. You have a proven ability to build and strengthen key relationships, aligned with our collaborative and inclusive store culture. You are proficient in Microsoft office tools, with an intermediate level of Excel skills. You are able to work both independently and within a team, showing initiative to work in a flexible manner to manage workload, as well as ad hoc and urgent tasks that arise.

About this work area
This role will be structured in two phases. The first phase will be focused on working with the IKEA New Zealand Project team to secure the ways of working and processes for People Services, and the second phase will transition into working in the People & Culture team at IKEA Sylvia Park. As People & Culture Operations Coordinator, your responsibilities will include, but are not limited to:
Phase 1:
- Executing administrative tasks and processes related to recruitment, including contract generation and securing new starter paperwork completion.
- Ensuring all administrative tasks are completed with high accuracy and along with any ad hoc administrative tasks as required.
- Supporting in the creation of ways of working for People Services processes and procedures for IKEA New Zealand.
- Networking with stakeholders to proactively identify process improvement opportunities with a focus on standardisation, digitalisation and centralisation.
- Supporting the Unit People & Culture team with administrative enquiries by troubleshooting, providing solutions to resolve queries and providing quality onboarding and training for unit People & Culture co-workers.
- Continuously contributing to the improvement of people services, aiming for the highest possible standard.
Phase 2:
- Executing and ensuring delivery of learning activities at unit level, including legally required trainings.
- Ensure local employer communication activities, including events, are consistent, well-perceived and build on the IKEA brand in New Zealand.
- Deploy services that are required to be executed at a local level such as uniforms, contracts, timekeeping, and parts of payroll administration.
- Manage onboarding and off-boarding activities as main contact person, including equipment, digital accesses, and welcome day.
- Execute operational P&C activities, collaborating with other Specialists as needed to deliver an excellent co-worker experience.
- Support the development of local business competence and performance by setting and working on relevant People & Culture goals.
- Secure engagement and retention by understanding the conditions of co-workers and identifying required improvements.
- Manage and coordinate People & Culture service delivery to ensure risk, compliance and operational excellence.
A little more about the job
We may be experts in home furnishing, but it is your expertise in the following we are looking for:
- Previous experience in New Zealand labour relations principles, local policies, procedures and laws.
- A degree in human resources and/or proven experience in a human resources coordinator or equivalent role.
- Ability to coach and develop people and secure succession to bringing together a high performing team that can contribute to business goals.

What you need to know
- This role is permanent, full-time, 80 hours per/fortnight
- The work location for this role is IKEA Sylvia Park & external warehouse.
- As our store operates 7 days per week, you must have the availability to work a rotating roster with a mix of day and evening shifts. You also have the availability to work weekend shifts (both Saturday and Sunday), once IKEA Sylvia Park is open.
