About the Buildings Specialist Services team
This is an exciting opportunity to support our Buildings Specialist Services Group, a team of about 70 specialists working across New Zealand and supporting clients in Australia and Singapore. The group comprises six services: Fire Engineering, Sustainable Buildings, Digital and Building Technology, Asset Management, Specialist Aquatic Services, and Specialist Lighting. These teams offer diverse expertise, providing advice on a range of building-related works, including future-ready and low energy/low carbon solutions, smart buildings and cities, creative solutions that bring buildings to life, and key regulatory advice in Fire Engineering and Sustainability.

Te whiwhinga mahi | The opportunity
In this role, you will support the Fire Engineering team. Based in Auckland, you will assist a nationwide team of 30 fire engineers, requiring excellent communication skills and the ability to build and maintain good rapport with team members you interact with remotely and in person.
You will collaborate closely with other business line administrators across New Zealand, particularly the Specialist Services administrator based in Christchurch. While your primary focus will be supporting the fire engineering team, you may also provide additional support to other specialist services teams as needed. We are looking for someone resilient, who works well under pressure, and can provide effective administrative support in a fast-paced, ever-changing environment, enabling the team to excel.

You will have the chance to network, learn, and contribute to team goals by coordinating meetings, onboarding new members, and mastering technical systems. You are a proactive and efficient administrator eager to make a positive impact. You can anticipate the team’s needs, adapt to changing priorities, and excel in multitasking. You are approachable, curious, and responsive in both virtual and in-person engagements. Resilient and keen to take on new tasks, you influence others positively during deadlines by working well under pressure. You possess excellent verbal and written communication skills, an interest in learning new tasks, and ideally, you are good with numbers and have some financial and/or commercial acumen. Your initiative and commitment to team culture will enhance your enjoyment.
You should be proficient in Office 365 (Word, Excel, Power Point, Teams, and Outlook), Share Point, and project administration. Experience with proposal preparation, Microsoft Dynamics, invoicing, travel booking, Miro, and Nitro is preferred but not essential, as full training will be provided.
