YOUR PURPOSE
In this role, you will work closely with the Country Heads of Portugal, supporting their respective CHC (Consumer Healthcare) teams in the execution of annual sales plans. Your contributions will be vital in the efficient management and coordination of administrative, logistic, and operational tasks within the department.
Additionally, you will play a pivotal role in fostering a collaborative culture, ensuring alignment, and promoting effective communication across the team.

✏️ What you will do

Tracking & sending: POS Materials, Samples, commercial materials

Preparation and coordination of on-boardings & trainings (sales & local team)
-
Incidence/Complaint management: sales rep, devices, customer orders
Operations - support day-to-day operational efficiency and alignment with organizational goals

Coupa LEO/ e Buy/Easy Invoice: PO (Purchase Order) creation/Invoice management/Monthly PO (Purchase Order) receiving

Due Diligence
-
SPOC (single point of contact) for S2V/P2P
-
SPOC for suppliers
-
SPOC for procurement
-
Office operations & compliance
-
Country & commercial contracts
Events - lead the organization of Local, Zone & External events
-
Organization and coordination of meetings: Sales conference, team meetings (agenda & coordination, e.g.e.g., rooms/venues, travel arrangements, activities)
-
Support on Ad hoc internal events
Communication - support Internal, External & Culture
-
Ad hoc requirements for internal organization on engagement activities
-
Support preparation of country head
-
communications (e.g. briefing materials for meetings, reports, presentations, emails)
-
Facilitate effective communication across teams to ensure alignment and clarity
Administration and Contract Management:
-
External Communication & Procedure Management: Trade Associations
-
Para-Legal: creation and exchange documents with Legal/Authorities
-
Team support: cards, gifts for illness, special occasions etc.

Your profile

Strong experience in administrative tasks

Excellent planning and organizational skills

Effective communication and interpersonal skills

Proven ability to prioritize tasks effectively

Education: Bachelor’s degree or equivalent in Business Administration, Communication, or similar field
-
Languages: Strong written & verbal communication in English and Portuguese.
