Job Title: Operations and Facility Administrator/Secretary (Female)

Job Summary: We are looking for an experienced Operations and Facility Administrator/Secretary to assist the Facility Manager in overseeing the daily operations of our facilities. The ideal candidate will have a strong background in facility management, excellent organizational skills, and the ability to handle multiple tasks efficiently.
Key Responsibilities:
Assistance to Facility Manager:
Support the Facility Manager in daily operations and facility maintenance.
Assist in planning and executing facility projects and improvements.
Help coordinate schedules for facility maintenance and repairs.
Facility Management:
Monitor facility systems, including HVAC, plumbing, and electrical, ensuring optimal performance.
Conduct regular inspections of the facility to identify maintenance needs and safety concerns.
Maintain accurate records of facility maintenance, service contracts, and inventory.
Administrative Support:
Manage communications, including emails and phone calls, on behalf of the Facility Manager.
Prepare reports and presentations related to facility operations and projects.
Organize meetings and take minutes, ensuring follow-up on action items.
Customer Service:
Serve as a point of contact for staff and visitors regarding facility-related inquiries.
Address and resolve facility issues or concerns promptly and professionally.
Compliance and Safety:
Ensure adherence to health and safety regulations and company policies.
Assist in the development of emergency response and safety plans.
Qualifications:
- diploma or equivalent Associate's or Bachelor's degree in Engineering, Business Administration, or a related field preferred.
- Proven experience in facility management or a related administrative role.
- Knowledge of building systems and maintenance practices.
- Proficient in MS Office Suite (Word, Excel, Power Point) and facility management software.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Minimum 5 years of experience in related field
