As the Real Estate Office Administrator, you will be an essential part of our team, supporting the office's day-to-day operations and assisting our real estate agents. You will play a key role in ensuring the smooth functioning of our office, from managing schedules and client communications to assisting with real estate transactions and maintaining office records.
Responsibilities:
- Administrative Support:
- Manage phone calls, emails, and inquiries, directing them to the appropriate team members.
- Organize and maintain office supplies, and equipment, and ensure a clean and organized workspace.
- Schedule meetings and appointments for agents and leadership.
- Assist with managing agents' calendars and setting up property showings.
- Client and Vendor Relations:
- Act as the primary point of contact for clients, handling inquiries, scheduling consultations, and providing general assistance.
- Coordinate with vendors and third-party services as needed (e.g., inspectors, contractors, title companies).
- Transaction Support:
- Assist agents with transaction paperwork, including contracts, disclosures, and listing forms.
- Track critical deadlines for contracts, inspections, and closings.
- Assist with MLS listings and property marketing materials.
- Database and System Management:
- Maintain CRM systems and databases, ensuring client and transaction information is accurate and up-to-date.
- Enter and manage property listings and track leads.
- Marketing Support:
- Assist with the creation and distribution of marketing materials for property listings and promotional campaigns.
- Help manage office social media platforms (e.g., Facebook, Instagram) and online presence.
- Office Compliance and Record-Keeping:
- Ensure all office documents are compliant with local, and state regulations.
- Help track agents' continuing education and licensing requirements.
- Financial Administration:
- Assist with tracking office expenses, invoicing, and commission reports.
- Handle billing and payment processing for services rendered.
- Team Coordination and Support:
- Provide administrative support for the team, including coordinating office events and team meetings.
- Assist with onboarding new agents and training them on office systems and procedures.
- Previous experience in an office administration role, preferably within the real estate industry.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite (Word, Excel, Power Point).
- Familiarity with real estate systems (MLS, CRM platforms) is a plus.
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail with the ability to prioritize tasks effectively.
- Customer-service oriented with a friendly and professional demeanor.
- Knowledge of real estate laws and terminology is a plus .

Education:
- Bachelor's (Preferred)
