We are looking for an immediate, full-time, permanent position in EMEA at Bucharest, Romania.

Job Purpose:

Define, implement, provide, and maintain a comprehensive range of services to ensure the business infrastructure adheres to legal, technical, and corporate standards and requirements, policies, and procedures, ensuring safe and efficient operations. Create and manage direct team and oversee third-party service providers. Support projects associated with the company's infrastructure. Monitor compliance with contractual obligations related to facility network, such as rent, cleaning, maintenance, utilities, etc. Improve a cost efficiency.

Your tasks:
  • Create, implement, and manage FM and repair and maintenance strategy.
  • Conscientiously perform assigned duties.
  • Comply with the requirements of company policies, procedures, and local legislation.
  • Oversee non-construction projects, recommend and coordinate projects that enhance property value.
  • Prepare technical specifications for service, repair, and maintenance of the company's infrastructure facilities.
  • Support tender process for facility services and investments, providing technical expertise to relevant requests.
  • Control and negotiate terms of existing contracts related to the Company's facilities network, including rent, cleaning, maintenance, utilities, etc.
  • Negotiate contracts with service providers, including revising existing terms and conditions to achieve most beneficial terms and conditions.
  • Manage a global database of leased properties, ensuring information remains up to date.
  • Manage and administer projects related to the company's facilities network.
  • Develop and maintain technical documentation for the operation of premises, engaging qualified suppliers within the agreed timeframes and allocated budgets. Ensure adherence to design, engineering, and technological standards, as well as compliance with labor protection and fire safety regulations.
  • Ensure the commissioning of works and installed equipment within the agreed timeframes and budgets, while organizing and overseeing their subsequent operation.
  • Resolve ongoing issues with landlords and service providers.
  • Fulfill verbal and written instructions from the immediate supervisor related to official duties and provide reports on the execution of these instructions.
  • Oversee vendors and maintenance staff. Manage contractors and third parties through KPIs and SLAs.
  • Prepare & conduct Performance Dialogues with Facility Management Teams and other key stakeholders involved in the FM value chain.
  • Collaborate with Finance to develop and administer operating and capital budgets for facilities.
  • Ensure FM team provides efficient, high-quality service that meets business and external needs.
  • Manage the activities of direct subordinates to ensure compliance with applicable labor laws and company regulations.
  • Ensure compliance with internal policies and procedures, including maintaining data integrity for the Real Estate portfolio.
  • Identify and implement savings initiatives.
  • Complete or coordinate routine inspections to determine required services.
  • Administer environmental programs in partnership with the company's EH&S Manager. Ensure adherence to Corporate Risk Management policies and Insurance requirements for vendors/contractors.
  • Develop and maintain positive relationships with internal and external customers and facilities staff.
  • Operate the A/P invoice payment system to validate and approve costs associated with facilities.
  • Provide regular reports on facility operations, expenses, and projects to management.
  • Respond to after-hours facilities related emergencies and determine the appropriate course of action to resolve issues.

Your profile:
  • Over 5 years of experience in a warehouse, business office, or real estate environment, with expertise in construction project management, space planning, and facilities management.
  • Knowledge of the legislation in the field of labour protection and safety.
  • Knowledge and experience in the organization of efficient work process within the team.
  • Facilities Management Certification and/or relevant work experience is a plus.
  • Bachelor’s degree in Business Administration, Engineering, Architecture, or a related field.
  • Basic knowledge of budgeting and accounting
  • Confident user of Ofice365 applications
  • Category B driver's license
