Job Overview:
We are seeking a highly organized and experienced Public Relations Officer (PRO) to manage all administrative, legal, and logistical tasks related to the recruitment of employees into Saudi Arabia. The ideal candidate will play a key role in ensuring smooth processing of visas, work permits, licenses, accommodation arrangements, and payroll management for employees being relocated to Saudi Arabia. The role requires a deep understanding of Saudi laws and regulations, along with strong communication skills in both Arabic and English.
Key Responsibilities:
- Visa and Work Permit Processing:
- Manage the visa application process for recruited candidates, ensuring all documents are submitted and processed correctly with the relevant authorities.
- Ensure compliance with Saudi Arabian labor and immigration laws throughout the recruitment and onboarding process.
- Liaise with the Saudi Arabian Ministry of Interior, Ministry of Labor, and other relevant governmental bodies to ensure all visas, work permits, and residence permits are issued in a timely manner.
- Licensing and Legal Documentation:
- Oversee the processing of necessary licenses and legal documentation for newly hired employees, ensuring all paperwork is filed and approved according to local regulations.
- Coordinate the renewal and cancellation of work permits, Iqamas, and other employee-related documentation.
- Ensure full compliance with the Saudi Labor Law and other legal requirements for foreign employees.
- Payroll Assistance:
- Assist with the processing and administration of payroll for employees, ensuring that salaries are accurately calculated and paid on time.
- Coordinate with the finance team to ensure compliance with tax regulations and other financial requirements.
- Accommodation and Logistics:
- Coordinate the booking of accommodation for employees relocating to Saudi Arabia, ensuring they are settled comfortably.
- Liaise with housing providers and arrange for necessary utilities (e.g., internet, electricity) to be set up for new employees.
- Assist with transportation arrangements and any other logistical support for new hires as they transition to living and working in Saudi Arabia.
- Employee Onboarding:
- Ensure new hires are properly onboarded, including the setup of necessary documentation, travel, and accommodation arrangements.
- Serve as a point of contact for new employees, helping to address any relocation challenges or administrative needs.
- Compliance and Documentation Management:
- Maintain and update accurate records of all employee documents, including visas, work permits, Iqamas, and other relevant paperwork.
- Ensure that all tasks are completed within the required timeframes and that all documentation is up-to-date and in compliance with Saudi Arabian law.
- Government Relations:
- Build and maintain relationships with Saudi government offices and local authorities to ensure smooth processing of visas, work permits, and other official documentation.
- Stay informed about changes to Saudi laws and regulations related to employment, visa processing, and immigration.
- Experience: Minimum of 3 years’ experience in a PRO role, ideally with expertise in visa processing, work permits, and employee relocation for Saudi Arabia.
- Languages: Native Arabic speaker with excellent communication skills in both Arabic and English (written and verbal).
- Regional Knowledge: In-depth knowledge of Saudi Arabian labor laws, visa processes, and local government procedures.
- Education: A degree in Human Resources, Business Administration, or a related field is preferred.
- Skills:
- Strong organizational and multitasking abilities.
- Proficient in dealing with government agencies and understanding of the local regulatory environment.
- Detail-oriented with a focus on accuracy and efficiency in processing paperwork and managing logistics.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with accommodation booking systems and relocation services.
- Experience in managing onboarding processes for employees in the Saudi market.
