Fleet Administrator

The Fleet Administrator is responsible for the efficient management and administration of the company's heavy vehicle fleet. This role includes overseeing vehicle insurance, parking, road tax, diesel usage tracking, accident management, summons appeals, and vehicle servicing. The ideal candidate will ensure that all fleet-related administrative tasks are handled accurately and in compliance with legal and operational requirements, enabling the company's vehicles to function optimally and remain in full compliance with regulations.


*Key Responsibilities:*
1. *Heavy Vehicle Insurance Management:*
  • Oversee the application, renewal, and maintenance of insurance policies for all heavy vehicles.
  • Ensure timely payments and proper documentation of insurance coverage.


2. *Heavy Vehicle Season Parking:*
  • Manage the application and renewal of season parking for all company vehicles.
  • Maintain accurate records of parking certificates and permits for all vehicles.


3. *Vehicle Parking Certificate Application:*
  • Handle the application and renewal of Vehicle Parking Certificates (VPC) in compliance with government regulations.
  • Maintain updated records of all VPCs for heavy vehicles in the fleet.


4. *Road Tax Management:*
  • Ensure timely renewal and payment of road taxes for all vehicles.
  • Keep accurate records of road tax documents for auditing and compliance purposes.


5. *Summons Appeal & Payment:*
  • Manage the appeals process for vehicle-related summonses.
  • Oversee the timely payment of summonses, ensuring records are up-to-date.


6. *Accident-Related Matters:*
  • Coordinate accident-related processes, including insurance claims and vehicle repairs.
  • Maintain accurate records of accidents and ensure that all claims are processed promptly.


7. *Diesel Usage Tracking:*
  • Monitor and track diesel consumption for all vehicles.
  • Ensure accurate reporting for fuel usage to optimize costs and ensure efficiency.


8. *Vehicle Maintenance & Servicing:*
  • Schedule and manage regular servicing and maintenance of all heavy vehicles.
  • Keep records of all maintenance work, ensuring vehicles meet safety and operational standards.
  • Liaise with service providers to ensure timely and quality repairs and servicing.


*Requirements:*
  • Diploma in Business Administration, Logistics, or a related field.
  • Minimum of 2 years of experience in fleet management, vehicle administration, or a related role.
  • Strong knowledge of vehicle compliance regulations, including insurance, road tax, parking certificates, and servicing schedules.
  • Proficient in MS Office (Word, Excel) and fleet management software (advantageous).
  • Strong organizational, time management, and multitasking skills.
  • Excellent communication and problem-solving abilities.

This position ensures that all fleet-related tasks, including insurance, compliance, servicing, and fuel tracking, are managed efficiently to support the company’s transportation operations.
