Organizational Context

The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 191-member National Societies (NSs). The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by NSs with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises.

IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality.

IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.

IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

IFRC has a zero-tolerance policy on conduct that is incompatible with the aims and objectives of the Red Cross and Red Crescent Movement, including sexual exploitation and abuse, sexual harassment and other forms of harassment, abuse of authority, discrimination, and lack of integrity (including but not limited to financial misconduct). IFRC also adheres to strict child safeguarding principles.

This role will be hosted and contracted by The International Federation of Red Cross and Red Crescent Societies (IFRC), one of the members of the Big 6.

Formed in 1996, the Big 6 Youth Organisations is an alliance of leading international youth-serving organisations. It comprises the five largest youth movements in the world: the Young Men’s Christian Association (YMCA), the World Young Women’s Christian Association (YWCA), the World Organisation of the Scout Movement (WOSM), the World Association of Girl Guides and Girl Scouts (WAGGGS), the International Federation of Red Cross and Red Crescent Societies (IFRC), and a leading programme for youth development, the Duke of Edinburgh’s International Award (the Award). Together, the Big 6 actively involve over 250 million young people.

About the EU Youth Empowerment Fund through the Big Six Global Youth Mobilization
The EU Youth Empowerment Fund is a new pilot initiative that will provide direct financial support to youth-led initiatives in countries of implementation, focusing on contributions to the Sustainable Development Goals at local level, in particular on environment and climate change and the inclusion of vulnerable and under-represented youth.

Job Purpose

The EU Youth Empowerment Fund through the Global Youth Mobilization (GYM-YEF) project will have a Project Coordination Team (PCT), led by a leadership team of two Co-Leads and the IFRC Custodian Focal Point. The key management and oversight responsibilities for the delivery of the project are split between two Co-Leads, each in charge of a set of defined areas, supported by the IFRC Custodian Focal Point.

The Project Coordination Team, including the Youth-led Solutions Help-desk and Administration Intern, will report to the PCT Leadership Team according to their specific areas of responsibility. Agreement on the responsibility for providing pastoral support and ensuring the well-being of staff will be determined once the positions are filled and the individuals are in their roles.

The Inter, Youth-led Solutions Help-desk and Administration will support the Global Youth Mobilization by maintaining effective and robust administration, with a focus on Salesforce and Youth-led Solutions, under the guidance of the Youth-led Solutions Senior Coordinator. They will play a pivotal role in supporting young people by providing guidance, support, and helping troubleshooting challenges and answering their queries.

Job Duties and Responsibilities

General Enquiries and Administrative Tasks:
  • Monitoring Youth-led Solutions email correspondence and the Global Youth Mobilization mailboxes.
  • Check, monitor, categorize and respond to enquiries related to the Global Youth Mobilization via a variety of platforms within the targeted response times
  • Flag and escalate issues or enquiries that require support from other team members or partners
  • Track and report on the types of enquiries received, monitor enquiry trends, and provide feedback or suggestions to improve the helpdesk service
  • Assist with administrative tasks such as expenses record-keeping, document filing, bookings, scheduling and others
  • Supporting with other administrative tasks as required.
Application and Grant Support:
  • Provide first-line support to prospective applicants and applicants in the submission of high-quality grant applications by providing answers to frequently asked questions, using the most effective communication methods.
  • Support the accessibility and inclusivity of the grant application process providing targeted support to young people with access needs to complete their applications
  • Flag and escalate complex application issues to the appropriate persons-in-charge.
  • Assist with pre-sifting applications received when required
  • Follow up with applicants to obtain additional information as needed for tasks related to main application milestones, such as grant acceptance, fund disbursements, and reports.
  • Ensure applicant and Youth Panel members’ information is up to date on the Salesforce grant and Youth Panel online management system.


Information management coordination, including data collection, analysis visualization and reporting:
  • producing reports on different aspects of data, CSV files etc, assessing mid-term reports and managing data for annual reporting
      Assist in developing materials and analytical/graphical products, such as infographics, dashboards, interactive maps, case studies, factsheets and reports to transform the available data into meaningful pieces of information.

Education

Required
  • Degree in Business Administration or equivalent.
  • Be currently enrolled in a university or equivalent level, or have
    graduated recently (normally within 1 year from the date of hiring) in an area that is compatible with the IFRC activities.

Experience

Required
  • Experience in managing multiple projects at the same time
  • Experience in liaising with multiple stakeholders
  • Ability to maintain confidentiality and work within protocols and procedures


Preferred
  • 1-2 years of work experience in (national or international) in areas of administration, database management and reporting.
