Your impact:
- As the Executive Assistant to senior leadership, you will play a pivotal role in ensuring the smooth operation of the day-to-day responsibilities of our CEO and VPs. You will provide high-level administrative support while also taking ownership of key internal communication tasks. In addition to managing the CEO's schedule, meetings, and correspondence, you will be responsible for supporting the VPs with ad-hoc administrative tasks, preparing and coordinating company-wide town halls, facilitating communication across departments, and maintaining an efficient flow of information throughout the organization.
Your day-to-day responsibilities:
- Calendar & Schedule Management: Organize and maintain calendars, scheduling meetings, travel, and events to optimize the time of our senior leadership and ensure key priorities are addressed.
- Meeting Coordination: Prepare agendas, take detailed meeting notes, and follow up on action items, ensuring effective communication and task completion.
- Email & Correspondence: Screen and prioritize emails, calls, and requests for the CEO, responding or redirecting as appropriate.
- Document Preparation: Draft, proofread, and prepare reports, presentations, and other materials for internal and external meetings.
- Travel Coordination: Plan and book complex travel arrangements, including accommodations, itineraries, and meeting logistics for domestic and international trips.
- Town Hall & Company-Wide Meetings: Lead the planning, scheduling, and execution of company-wide town halls and other internal communication events. This includes drafting agendas, preparing presentation materials, and coordinating cross-departmental inputs.
- Anticipate the CEO's needs and proactively address them, handling multiple priorities in a fast-paced startup environment.
- Assist with or lead special projects as assigned by the CEO or the senior leaders in the company, ranging from strategic initiatives to operational improvements.
- 1-2+ years of experience in a similar role supporting C/VP-level executives, preferably in a fast-paced or startup environment.
- Excellent written and verbal English communication skills, with a keen ability to manage internal messaging and corporate communications. Thai language skills will be considered a big plus.
- Strong organizational and multitasking abilities with acute attention to detail. Proven experience in handling complex scheduling and project coordination.
- Strong proficiency with productivity tools (e.g., Google Workspace, Microsoft Office) and experience in preparing presentations (e.g., Power Point, Keynote).
- Ability to work independently, take initiative, and adapt to changing priorities with a “can-do” attitude.
- High level of integrity and discretion in handling confidential information.
- Nice to have: Experience organizing and hosting company-wide events or internal communications.
- Nice to have: Familiarity with startup culture and the ability to thrive in a dynamic, fast-paced environment.
