Job Title: Examination Services Officer
Location: Istanbul, Turkey
Requirements: Candidates must have the legal rights to work in Turkey at the time of application and in future.
Contract Type: Indefinite
Pay Grade: 4/H
Role Purpose:
To enhance the quality of customer service, delivery, administration and security procedures associated with IELTS, Educational and Professional (EPE), and Aptis examinations, and to a lesser extent with other products. To support the department in meeting all standards as described in the IELTS Administrator’s Manual and the British Council Quality and Compliance Assessment System.
Main Accountabilities:
Back Office organizational and administrative support
  • Reports corresponding Examination Co-Ordinator
  • Must adhere to the guidelines and administrator manuals provided by the relevant exams bodies
  • Accountable for ensuring that all relevant standards are met for all duties
  • Administrative support to their relevant Examination Co-Ordinator
  • Back Office organization and administration of IELTS, EPE and Aptis Exams
Examiner Allocation
  • Contacts and allocate examiners prior to each exam session, ensuring that the number of examiners matches the session requirements. This involves maintaining an up-to-date availability data and using scheduling tools to assign examiners based on availability, location, and expertise.
  • Develops and manage a detailed examiner assignment schedule, ensuring that it is reviewed and approved well in advance. Ensure backup examiners are identified in case of cancellations or emergencies.
  • Works closely with examiners to confirm their participation, send out necessary briefing documents and guidelines.
  • Maintains constant communication with examiners, providing timely updates on any changes to the schedule or venue arrangements.
  • Arranges examiners’ trips and overnight stays for off-sites
Venue and Capacity
  • Conducts regular checks on exam venue capacities on a weekly, and monthly basis, ensuring the venues can accommodate the number of candidates. Maintain a systematic approach to tracking and adjusting capacity needs to avoid any last-minute issues.
  • Communicates proactively with exam venues to gather accurate capacity data and address any potential issues related to seating arrangements, technical equipment, or facilities.
  • Takes responsibility for identifying potential over or under capacity risks and implement strategies to optimize seating allocations or seek alternative venues when necessary. Collaborate closely with CMR (Confidential Materials Room) and Test Day Delivery departments to ensure smooth execution.
Delivery of Educational and Professional Exams
  • Monitors daily of the related inbox, ensuring that all candidate inquiries are addressed within a reasonable timeframe. Prioritize messages based on urgency and complexity, especially regarding exam registration, venue information, and scheduling requests.
  • Coordinates with universities to ensure that exam schedules are aligned with the examination calendars and that there is sufficient capacity.
  • Ensures that all responses to candidates are tailored to the availability of exam venues, examiner schedules, and staff capacity. Provide clear and concise information to candidates, particularly regarding exam formats, venue locations, and safety protocols.
  • Maintains close collaboration with the CMR department to manage exam logistics. Ensure that venue arrangements, technical requirements, and staff allocations are confirmed well before the exam dates. Address any venue-related concerns early and adjust plans as needed to meet capacity and safety standards. Other general duties related to despatch and track of exams materials.
Test Day Support
  • Where appropriate this role will be part of a team carrying out Test Day Support. The test day roster will include some early morning, weekend cover and will require out of city travel.

Education
Minimum
  • University degree level qualification in relevant area

Language Requirements
  • English: B2/C1
