ABOUT THE ROLE

The Recruitment Administrator will support the recruitment team in executing hiring processes effectively, ensuring a seamless experience for candidates and hiring managers. The role involves coordinating interviews, managing candidate records, and assisting with recruitment-related administrative tasks. Strong organizational skills, attention to detail, and excellent communication are essential in this role.

YOUR TASKS:

Recruitment Coordination

• Schedule interviews with candidates and hiring managers, ensuring efficient communication and follow-up.
• Assist in creating job advertisements, posting jobs on job boards, and updating internal and external job listings.
• Prepare interview materials and ensure all necessary documentation is provided to interviewers and candidates.

Candidate Management

• Maintain the Applicant Tracking System (ATS), ensuring all candidate data is up-to-date and accurate.
• Screen resumes and initial applications to identify qualified candidates for consideration.
• Conduct preliminary phone screenings and assessments as directed by the Recruitment Manager.

Communication and Support

• Serve as the main point of contact for candidates, addressing inquiries, providing updates, and managing expectations throughout the recruitment process.
• Coordinate with internal departments for onboarding and background checks to ensure a smooth transition for new hires.
• Assist with the preparation of offer letters and other hiring documentation.

Administration and Reporting

• Generate recruitment reports on hiring metrics, including time-to-hire, source of hire, and candidate pipeline status.
• Organize and maintain recruitment records, ensuring compliance with HR policies and data privacy regulations.
• Support the Recruitment Manager in analyzing recruitment data to improve processes and efficiency.

General HR Support (as needed)

• Assist with HR administrative duties as required, such as preparing documentation for new hires and arranging orientations.
• Participate in HR meetings, team activities, and training sessions to stay informed on recruitment best practices and company policies.

YOUR PROFILE:

• Education: Bachelor’s degree in Human Resources, Business Administration, or a related field preferred
• Experience: Minimum of 1–2 years of administrative experience, preferably in a recruitment or HR setting
• Strong organizational and multitasking abilities
• Excellent written and verbal communication skills
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with ATS software is a plus
• Ability to maintain confidentiality and handle sensitive information professionally
• Strong interpersonal skills to work effectively with candidates, team members, and hiring managers
• Familiarity with HR and recruitment processes
• Experience using recruitment tools, such as Linked In Recruiter, Indeed, or other job boards
• Basic knowledge of employment laws and HR compliance.
