Senior Admin Assistant

Job description
The Senior Admin Assistant will play a critical role in supporting senior management and ensuring the smooth operation of the office. This position is ideal for a highly organized, proactive individual with strong communication and multitasking abilities. The Senior Admin Assistant will handle a wide range of administrative tasks, from coordinating meetings to managing office logistics, and will be expected to take initiative and act as a point of contact for internal and external stakeholders. This position demands a higher level of responsibility, leadership, and problem-solving compared to the standard admin assistant role.
KEY RESPONSIBILITIES:
· Executive Support & Scheduling:
Provide high-level administrative support to senior management, including real-time scheduling of appointments, meetings, and travel. Ensure there are no conflicts and that all appointments are managed efficiently.
· Team Coordination & Task Management:
Oversee and coordinate internal tasks and projects to ensure that deadlines are met and that employees and managers have the necessary resources to execute their responsibilities on time. Act as the central point of contact for task status updates and provide reminders to key stakeholders.
· Document & Information Management:
Maintain and organize an efficient filing system for sensitive documents and ensure that records, logs, and reports are accurate, up-to-date, and comply with organizational standards. Implement document control systems to improve workflow and prevent delays.
· Meeting Coordination & Logistics:
Coordinate all internal and external meetings, including managing calendars, securing meeting spaces, and preparing necessary materials and agendas. Record and distribute meeting minutes, action items, and follow-up tasks to ensure that decisions are implemented.
· Office & Facility Management:
Oversee the ordering of office supplies, monitor stock levels, and liaise with suppliers to secure the best deals. Ensure that all office equipment is maintained, troubleshooting minor technical issues as needed (e.g., printers, laptops, phones), and coordinating larger repair or replacement requests.
· Confidentiality & Data Management:
Handle confidential information with the utmost discretion and integrity, adhering to company policies and maintaining the confidentiality of sensitive materials.

· Reporting & Special Projects:
Assist with the preparation of reports, presentations, and other documentation required by management. Take a proactive role in supporting special projects, working with different departments to gather necessary data and provide organizational support.
· Ad-hoc Administrative Support:
Take on any additional administrative duties as assigned, including supporting various departments in tasks such as document preparation, data entry, and office organization.
KEY REQUIREMENTS:
· Work Experience:
Minimum of 3-5 years of proven experience as an Admin Assistant or similar office support role, ideally in a senior or executive support capacity.
· Education:
Bachelor's degree in Business Administration, Management, or a related field.
· Skills & Competencies:
o Advanced Computer Skills: Proficient in Microsoft Office Suite (Excel, Word, Power Point, Outlook) and other office software.
o Strong Attention to Detail: Ability to manage complex schedules and tasks while ensuring that all work is completed accurately and to the highest standards.
o Problem-Solving: Ability to think critically and resolve issues independently, ensuring smooth office operations.
o Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with colleagues, clients, and visitors at all levels of the organization.
o Time Management: Skilled at prioritizing tasks, managing competing demands, and working efficiently under pressure to meet deadlines.
o Interpersonal Skills: Friendly, approachable, and able to work well with a diverse range of individuals. Ability to maintain professionalism in all interactions.
o Basic Technical Troubleshooting: Ability to perform basic troubleshooting of office equipment (e.g., laptops, printers, phones) and coordinate repairs when necessary.
· Personal Attributes:
o Highly organized and dependable, with a proactive and solutions-oriented approach to work.
o Ability to handle confidential information with discretion.
o Strong work ethic, self-motivated, and comfortable working independently or as part of a team.
