Magpas Air Ambulance is at an exciting stage in its development. Since moving to our new state-of-the-art operations base we are now looking to grow our support team further.
Are you an experienced receptionist or customer service advisor looking for your next challenge? Do you have a passion for providing a warm welcome and assistance to visitors? We are seeking a friendly and knowledgeable Welcome Officer to join our team and help us grow our vital work.
You will be joining a friendly, supportive and passionate team and an organisation focused on growth & development. So if you think you can help us by being a great first point of contact for people engaging with the charity and are able to provide a high level of supporter care, then we would love to hear from you.
Role Summary:
· To be the first point of contact for people engaging with the charity, providing the highest level of supporter care via phone, email & face to face.
· Provide friendly and welcoming direction and assistance to visitors to the Magpas Air Ambulance base.
· Answer and respond to all phone calls, ensuring caller enquiries are dealt with effectively.
· Support the Fundraising team with taking and processing donations, merchandise sales, data entry and other support related tasks.
· Support the business support team in arranging room bookings and meeting room coordination for excellent staff and visitor experience.
Responsibilities
· Greeting visitors at Magpas Air Ambulance headquarters and offering them assistance
· Answering phone calls and responding appropriately to the caller’s needs
· Managing and responding to emails as appropriate
· Signing in visitors through the sign-in system and managing a visitors needs on arrival
· Notifying appropriate people that a visitor has arrived to see them
· Dealing with initial enquiries in person or through call taking, ensuring callers needs are met
· Manage and distribute incoming and outgoing mail
· Dealing with room booking enquiries
· Completes opening and closing process of welcome desk area and visitor centre
· Support in setting up meeting facilities when required
· Arranging refreshments for meetings when required
· Maintaining front door security and reporting any suspicious activity
· Representing the charity with a positive attitude and professional appearance
· Tidy, organise and maintain the reception area
· Accept deliveries and direct to individuals
· Schedule appointments and coordinate diaries for Executive Leadership team
· Processing telephone donations and card payments
· Manage merchandise restocking and payment processing
· Support with data entry tasks from the fundraising department
· Undertake ad-hoc admin requests from the business support team
· Proactively seeking ways to monitor and improve customer care at Magpas Air Ambulance
About You:
Essential
· Previous receptionist or customer service experience
· Friendly and welcoming manner
· Good problem solver, able to use own initiative to meet customer & supporter needs
· Good attention to detail
· Good communication skills& ability to communicate effectively with a wide range of people
· Ability to multi-task
· Good knowledge of IT skills including Share Point and MS Office
· Ability to work unsupervised
· Ability to build relationships with diverse range of people internally and externally
· Confident at dealing with queries and complaints
· Ability to exhibit confidentiality, discretion and diplomacy in the workplace
Desirable
· NHS, charity or healthcare related experience
· Knowledge of the organisation
· Ability to learn and use specialist software and systems
This role is subject to a Disclosure and Barring Service (DBS) check.
Fulltime permanent, 37.5 hours per week , Monday to Friday (9am to 5pm)
Part-time job share will be considered.
