TASK FORCE: Personal Management and Administration

UNIT: Learning and Development

JOB TITLE: One (1) Graduate College Aide

SUMMARY:

The Mayor’s Office of Management and Budget (OMB) is the City government's chief financial agency. OMB's staff of analysts and experts assembles and oversees the Mayor’s expense and capital budgets, which fund the services and activities of approximately 90 City agencies and entities.

OMB’s Learning & Development (L&D) Unit is responsible for overseeing the agency’s learning strategy and for ensuring OMB employees get the training, resources, information, and practice they need to do their best work. L&D collaborates with all divisions, task forces, and units within OMB.

JOB DESCRIPTION:

This part-time Learning and Development College Aide position is an excellent opportunity for a student who is passionate about learning and development and wants to gain practical, hands-on experience in this field. Reporting directly to the Chief Learning Officer, the College Aide will play a key role in the design, development, and implementation of learning solutions that have a significant impact on New York City.

MINIMUM EXPERIENCE AND QUALIFICATIONS:

Candidates for this College Aide position must be:

  • Current undergraduate or graduate students enrolled or accepted into a degree program at an accredited college or university
  • Focusing on an area of study related to Learning and Development
  • Able to work onsite at our office in lower Manhattan
  • Legally authorized to work in the United States

  • Experience teaching or facilitating in any context.
  • Experience designing digital learning assets (videos, infographics, job aids, presentations).

  • Excellent interpersonal skills, outstanding written and oral communication abilities.

  • Proficient in Microsoft Office (Excel, Word, Power Point, and Outlook) and quick learning of new technology.
  • Ability to learn quickly, understand the perspectives of multiple stakeholders, and approach challenges with creativity and objectivity
  • Works well with others in a team setting.

Responsibilities:

  • Assist in designing and/or facilitating performance-focused, activity-based learning solutions.
  • Create job aids, quick guides, glossaries, and micro-learning videos.
  • Support project management, marketing, and logistics for L&D initiatives.
  • Administer and moderate internal online discussion boards.
  • Compose and send out communications for L&D initiatives, including follow-ups after training sessions.
  • Assist in conducting needs analyses via surveys and focus groups.
  • Coordinate with external training vendors.

REQUIREMENTS:

Graduate College Aides must be currently enrolled or accepted into a graduate program. Candidates should have strong analytical, quantitative, research and communication skills. Additionally, candidates must be proficient in MS Word and Excel

Compensation/Duration:

Graduate College Aide $19.50 per hour

This College Aide Position is 17 hours per week during the school year and up to 35 hours during breaks.
The hours must be during the regular workday, 9:30 a.m. to 5:30 p.m. – no evenings or weekends.

Minimum Qualifications


For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.
For Assignment Level II (Information Technology):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.
For Assignment Level III (Information Technology Fellow):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.

SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.

Residency Requirement

New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. To determine if the residency requirement applies to you, please discuss with the agency representative at the time of interview.
