Nature of Work
APPLICANTS WHO APPLIED AND WERE DEEMED INELIGIBLE, BUT NOW MEET THE MINIMUM REQUIREMENTSLISTED BELOW AND WISH TO BE CONSIDERED FOR THIS POSITION MUST RE-APPLY.
This is specialized legal secretarial work.
The primary responsibilities for this position involve performing relatively complex legal secretarial assignments to include transcribing and typing highly confidential documents pertaining to settlements and other legal actions being considered. Work includes researching, drafting, typing and filing confidential memoranda that are exempt from public records as well as routine documents. Work also involves public contact in the Office of the City Attorney. Work requires the application of knowledge of legal methods, requirements and terminology in meeting a variety of work problems. General supervision is provided by an attorney or administrative superior. Detailed work instructions are received from a supervisor when work is unusually complex. Work may require the exercise of independent judgment and discretion in its performance and is not of a routine mental, manual, physical or mechanical nature. All decisions will be made in accordance with established guidelines and procedures. Employees in this class will serve in a confidential capacity, assigned to one or more of the Assistant City Attorneys.
Essential Functions
Establishes and revises work priorities and production schedules. Maintains assigned attorney(s) court/litigation calendar and appointment schedule. Maintains assigned attorney(s) assignment lists and files.
Assist with travel arrangement and complete associated travel reimbursement documents.
May perform receptionist work, taking and screening telephone calls, making decisions to determine the appropriate information to be given, routing calls to appropriate parties, taking messages and greeting visitors.
Reviews, proofreads and edits all work for quality and scrutinizes causes of corrections, revisions, and re-runs.
Performs general or routine legal research work, including electronic research; checks citations in the Law Library and correlates other data.
Maintains files of correspondence, forms, reports and other materials by filing and sorting material alphabetically, numerically or by other predetermined classification systems.
Performs other related work as required.
Minimum Requirements
OR
Equivalent combination of education and experience beyond a high school diploma or its equivalent and two (2) years of the required experience.
Documentation Requirements
ALL DOCUMENTS SUBMITTED MUST BE CLEAR, LEGIBLE, AND IN PROPER FORMAT.
THE FOLLOWING DOCUMENTS ARE REQUIRED AT TIME OF APPLICATION AND ARE ACCEPTABLE FORMS OF PROOF:
Foreign diplomas/degrees must be submitted with a credential evaluation report from an approved credential evaluation agency*. Translations of diploma/degrees are not accepted. If degree/diploma does not reflect the academic major on its face, transcripts must be submitted. Submitted transcripts must include the following: student's name, school name, number of credits, degree completion, and major. Audit/Academic reports are not accepted as substitutions for college transcripts.
- Approved Credential Evaluation Agencies:
- An accredited four-year college or university in the United States, OR
- A current member of the National Association of Credential Evaluation Services (NACES), OR
- A current member of the Association of International Credential Evaluators (AICE), OR
- A recognized Professional Organization
Applicants, including City of Miami employees, must completely detail their work experience on the employment application or risk being disqualified. Resumes are not required and will not be reviewed in place of the employment application.

Veterans Preference: Veterans Preference is awarded in accordance with Florida State Statute 295.07. C. Property Tax Statement dated within 1 year of the date of submission
D. Properly executed valid lease agreement
E. Homestead Exemption dated within 1 year of the date of submission
F. Motor Vehicle Registration dated within 90 days of the date of submission
G. Official school records or transcripts, dated within 90 days of the date of submission
H. W-2 (or 1099) Tax Form dated within 1 year of the date of submission
City of Miami residents are granted selection preference over non-City of Miami residents within the same ranking band resulting from an interview process.
Selection Preference: Selection preference within the same ranking band resulting from an interview process will be granted in the following order: 1) preference eligible veterans, 2) active City of Miami employees, 3) City of Miami residents, 4) all others.
