Administrator

We are looking for a highly organized and detail-oriented Administrator to join our team and support our mission of proactive healthcare.
Job Summary:
The Administrator will play a crucial role in supporting the daily operations of our team both on-site and at other locations. This position involves a variety of administrative tasks to ensure efficient and smooth operations across our network. The ideal candidate will be proactive, highly organised, and able to multitask in a fast-paced environment.
Key Responsibilities:
- Meet and greet for clients
- Provide administrative support to ensure efficient operation of the team on-site as well as supporting other locations via phone and email.
- Assist with patient bookings, enquiries and referrals
- Schedule and coordinate meetings, appointments, and travel arrangements for staff.
- Organise team events.
- Manage office supplies inventory and place orders as needed.
- Monitor team compliance for various funding bodies.
- Handle sensitive information in a confidential manner.
- Coordinate office procedures and resolve administrative problems.
- Prepare and monitor invoices.
- Communicate effectively with team members at various locations to ensure seamless operations.
- Vacuuming/mopping and cleaning of bathroom facilities will be required as needed.
- Perform other related duties as assigned.
Requirements:
- Proven experience as an administrative, receptionist, office assistant, or relevant role is beneficial but not required.
- Must be able to commence work as early as 7am most days to assist with appointment rescheduling when staff are ill.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills including confidence over the phone
- Proficiency in google docs and sheets
- Ability to work independently and prioritise tasks.
- Strong attention to detail and problem-solving skills.
- Ability to adapt with day-to-day tasks as required.
