We are looking for a detail-oriented Inventory Accounts Payable Officer to join our busy Finance Team based at our Scoresby* site. (*Relocating to Dandenong South in 2025.)


Reporting to the Finance Manager this position maintains financial data integrity for stock-related purchases and supports end-of-month reporting and the management of claims from suppliers. It also supports the AP team with the shared services general accounts payable functions for Penguin Random House Australia and New Zealand.


Key Responsibilities:

• Processing of supplier invoices after receipt of stock for internal and external companies with SLAs and appropriate departmental approvals have been obtained.
• Review invoice documentation for discrepancies and follow up with Logistic team to ensure corrective action is taken for short shipments, incorrect discounts or prices.
• Manage data on the Shipping Record Centre, including close of shipments in ERP system and run receipt completion.
• Complete monthly reviews of open and partially posted shipments.
• Month end creditor statement reconciliations.
• Responding to creditor enquiries and internal requests for AP information.

The successful candidate will have:

• 3+ years’ experience in AP end to end function or other relevant administration experience.
• 3-way matching experience.
• Experience of Inventory and Freight invoices processing is desire but not compulsory.
• Experience using an ERP system in a medium size organisation. Knowledge of Basware would be an advantage.

You will also demonstrate the following:

• Strong attention to detail along with good problem solving skills.
• Intermediate level of MS Word and Excel.
• Solid communication skills both written and verbal.
• Ability to build and maintain effective working relationships with multiple departments across a variety of levels within the business and externally.
