Corporate Services Coordinator

- This role requires physical presence in our Vienna office 5 days / week.
- Handle day-to-day tasks to keep your office running efficiently
- Greet employees, customers, and visitors in a professional and courteous manner
- Provide world-class customer service to our staff for all office and facility needs
- Manage schedules for conference rooms and office spaces
- Coordinate all in-office functions such as space and seat planning, shipping/receiving, mail services and special events/catering
- Submit work orders and schedule repairs for general office space and equipment to address issues
- Assist with event planning, meeting logistics, and social activities, and aid with arranging catering related to those meetings
- Assist with new hire onboarding, and provide guidance navigating the travel management system booking process
- Maintain locality knowledge related to event/meeting venues, restaurants, and service vendors
- Manage incoming and outgoing correspondence, including mail and packages
- Liaise with landlord and property management team on regular basis ensuring landlord-provided services such as cleaning, building maintenance meet our needs and expectations
- Manage service contractors for the office for scheduled equipment maintenance
- Manage office security including badging and access control
- Follow security and emergency procedures as defined for the Respond to emergency situations in a calm, efficient manner
- Order and maintain office and kitchen supplies
- Support the Global Corporate Services leadership team with Ad-Hoc requests.
- Matura Diploma and +2 years of experience in a similar role
- Fluency in both German and English is mandatory
- In-depth understanding of MS Office Suite
- Independent worker/thinker who can prioritize tasks to meet deadlines in a fast-paced, quickly changing environment
- A skilled communicator, able to work across several departments, with professional level verbal and written communication and time management skills
- Demonstrate a high level of attention to detail as well as strong interpersonal skills
- Have a positive attitude and a strong sense of urgency in resolving any issues that may arise
- Basic experience in budget management
