Special Educational Needs Secretary

Role: Working with the Special Educational Needs Coordinator (SENCo) and the Learning Support Team to manage all administrative tasks related to supporting children with special educational needs or disabilities (SEND).

Main areas of responsibility:


  • Supporting the SENCo in maintaining a high standard of record keeping for all pupils with (SEND)
  • Developing and managing the system for creating and reviewing Individual Education Plans
  • Supporting and coordinating 'Team around the Child' meetings
  • Producing accurate minutes from all meetings relating to pupils with SEND
  • Developing and managing the SEND filing system for all documentation about pupils with SEND
  • Liaising with feeder schools and external services to ensure that all SEND information is received and shared with the relevant staff
  • Communicating on behalf of the SENCO with parents and external specialists of pupils with SEND
  • Supporting the SENCo in managing the process of assessment for pupils with SEND
  • Supporting the SENCo and Learning Support Teams in managing data related to pupils with SEND
  • Supporting the SENCo and Learning Support Teams in all aspects of record keeping and documentation in relation to access arrangements in exams
  • Managing the provision of access arrangements in internal and external exams
  • Supporting the SENCo and Learning Support Teams in managing timetabling for Learning Support teachers and assistants
  • Responding to telephone calls, emails and other queries from parents or external professionals as necessary
  • Undertaking general office duties such as photocopying, printing, displays, event planning and coordination

Qualifications and Experience:

  • Fluency in English and Portuguese
  • Bachelor's degree
  • Experience in administrative positions
  • Experience in working with children with special educational needs is desirable
  • Experience in working in busy and complex school environments
  • Ability to manage data and spreadsheet work effectively
  • Working knowledge of schools is desirable
  • Ability to learn quickly and react well to changing environments is essential
  • Excellent communication and interpersonal skills
  • To be able to set priorities and multitask
  • To be organised, calm and proactive
  • Empathy and sensitivity to working with pupils with SEND and their families
  • To be collaborative and work well as part of a team
  • Skills and knowledge of IT systems (including the full suite of Microsoft products: e.g. Word, Excel, Power Point, Forms, Sharepoint, One Note and One Drive) and platforms to support record keeping and educational provision planning.
