Sterling Crane is hiring an Administrator / Dispatcher who will be central to Branch Operations and our Client Site. This role will be focused on daily dispatch and administrative activities within the Imperial Oil team. The successful candidate will be committed to facilitating smooth and efficient office operations by planning carefully, anticipating needs and providing responsive, reliable assistance. Being well organized, possessing good problem solving and strong communication skills is essential within this role. This is a full-time hourly rotational shift (working from home), reporting to the Regional Operations Manager.
ROLE: Administrator / Dispatcher, Imperial Oil Kearl Lake.
WORK SCHEDULE: The working schedule is 14 days on 14 days off and is currently a work from home position as per the client's request. This work from home arrangement could change to on-site (FIFO available) at any given time if requested by the client.
RESPONSIBILITIES
  • Verifying all daily timesheets and client work orders for accuracy.
  • Facilitating Training and Certifications for client and corporate – scheduling training, auditing, processing back up.
  • Manage Client stewardship reports.
  • Process Accounts Payable.
  • Support Work Order closure (SIM Tool) and planning feedback to Client
  • Process and submit Invoices for approval.
  • Responsible for processing weekly unionized payroll.
  • Responsible for customer invoicing and collections.
  • Assist with inventory management, issuing of purchase orders and validating vendor invoices.
  • Support scheduling and resource planning internally/externally.
  • Support Manpower Dispatches for short term manpower with OE955.
  • Facilitate Revenue Forecasts for Finance team.
  • Responsible for all travel reservations and camp bookings.
  • General miscellaneous administrative tasks.
  • Other duties and projects as assigned.
QUALIFICATIONS
  • Experience with FCC (Fleet Cost and Care), Microsoft Applications with an emphasis on Excel and Word, Power Bi, Share Point and One Drive are considered an asset.
  • Experience in unionized payroll environments and processes is considered an asset.
  • Strong communication and organizational skills with high attention to detail.
  • Familiarity with heavy equipment/construction in the Oilsands Region.
  • Experience coordinating resources both internally and externally.
  • Strong administrative skills including proficiency in Microsoft Office applications.
  • Ability to problem solve and work independently with little to no supervision.
  • Energetic, motivated and able to work well in a team environment.
  • Proactive, organized approach to multitasking and ability to work well under pressure.
  • Availability to travel as needs arise.
