Position Purpose & Overview
The Admissions Assistant will support the Admissions process and serve as a key front-line resource for the Admissions department.
Key Responsibilities
Typical responsibilities and duties are inclusive of, but not limited to:
- Process applications, inquiries, documents, and files through the Blackbaud Enrollment Management system.
- Respond to emails and phone inquiries regarding the admissions process.
- Handle telephone inquiries and voicemails.
- Ensure applicant data is accurate and up to date across the various admissions spreadsheets and databases.
It should be understood that the activities, responsibilities and obligations of this position may be modified from time to time, through discussion between the direct supervisor and the employee, in order to effectively meet the requirements of the School. On rare occasions where there are urgent needs at the School, an employee may be assigned to temporarily backfill role(s) critical to the school’s operations and business continuity.
Reporting Structure
- Department: Admissions
- Reports to: Director of Enrolment Management
- Key Interactions:
- Internal: All faculty and staff at the School, including the Admissions Manager.
- External: Current and prospective parents, students, and alumni.
- Seasonal part-time contract position.
- Fixed term contract from October 28th, 2024 to March 7th, 2025.
- General schedule (subject to change):
- October 28th, 2024 - December 20th, 2024 = Mondays and Tuesdays.
- November 11th - 15th, 2024 = No working days.
- December 20th, 2024 - January 5th, 2024 = no working days.
- January 6th, 2025 - March 7th, 2025 = Mondays, Tuesdays, and Wednesdays.
- February 17th - 21st, 2025 = Tuesday, Wednesday, and Thursdays.
- Work location: on-site.
- Hours of Work: 8AM to 4PM on scheduled work days.
- Hourly rate of $26.00 + 4% vacation pay.
Education & Work Experience
- Proficient in GSuite; experience with the Blackbaud system is considered an asset.
- Customer service oriented with professional and inclusive communication.
- Abilities to communicate effectively, both orally and written, with internal and external stakeholders.
- High level of organization with a high attention to detail.
- Ability to take initiative and work independently with minimal supervision.
- Timely and complete processing of application and inquiry responses.
- Positive feedback from current and prospective parents.
- The successful candidate will be required to complete child abuse prevention training, concussion training, Level 1 first-Aid training provided by St. John’s School and provide consent for a criminal background check for vulnerable sector
- Clearance on criminal record check for vulnerable sector is a condition of employment
- Ability to legally work in Canada, in an educational setting is a condition of employment
