Home Campus: Fennell (hybrid work arrangements available)
Rate of Pay: Payband G (Start Rate: $32.42 per hour)

Preference will be given to qualified employees within the Full Time Support Staff bargaining unit, Appendix D (in the role for 6 consecutive months) and RPT employees who have passed probation at Mohawk College.

Reporting to the Manager, International Admissions, the International Admissions Officer is responsible for coordinating admission activities for post-secondary and post graduate programs with the goal of admitting qualified applicants to the College’s established strategic enrollment targets. In alignment with Mohawk College’s mission and values, the incumbent admits, supports and manages qualified applicants from applications through pre-registration.
What you’ll be doing:
Applicant Assessment
  • Individually and manually evaluating academic documentation from applicants, including English language test scores, secondary school transcripts from secondary school, post-secondary, to determine eligibility for admissions into post-secondary programs and English for Academic Purposes (EAP)
  • Assessing and interpreting transcript evaluations and identifying pre-requisite subjects or equivalencies
  • Determining equivalency to Ontario standards for foreign transcripts and educational documentation
  • Authenticating transcripts and documentation to determine legitimacy
  • Confirming the applicants’ status in Canada, and confirming eligibility to study
  • Ensuring international applicants meet Ministry and College admissions requirements and selection criteria
  • Identifying ineligible applicants and providing academic advising/information on alternative program choices and/or preparatory courses that are required to gain entry into the applicant’s program of choice
  • Recording results of assessments in the applicant record on the International SIS and maintain a database of previously assessed documents for reference
  • Researching foreign qualifications and country-specific education systems to ensure a full understanding of documents presented, using standards established by the World Education Service (WES) and Education Credential Evaluators (ECE)
  • Provides information and guidance to international students, agencies, foreign institutions and governments pertaining to admission and enrollment
  • Ensuring specific access criteria is met (according to country) where express visa programs (i.e. Student Direct Stream) are in place, prior to issuing an offer
  • Liaising with faculties to confirm credit transfer and advanced standing requests
  • Facilitating and advising prospects and applicants on appropriate and practical solutions to meet admission requirements, time sensitive to admission dates and competitiveness
  • Receiving and investigating requests for appeals or review of application decision
Application Processing
  • Admitting applicants to the confirmed program of choice through International SIS and generating correspondence relating to the application process.
  • Notifying applicants of required steps to clear to be eligible for registration including deadlines, fees, and accepting admission
  • Creation of pre-admission letters, acceptance letters, record of payment, scholarship letters, as assigned in the International SIS, to ensure new student enrolment targets are met, and make recommendations where additional enrolment could be achieved.
  • Communication to applicant and/or partner through the International SIS and Apply Proof
  • Determining the ranking order of eligible applicants by calculating and posting GPAs, test scores, upgraded marks and other selection criteria marks for competitive or oversubscribed programs
Support
  • Determining when to assign an applicant to the waitlists versus presentation of alternate program options, in collaborations with Coordinator
  • Managing wait lists to determine who the next qualified applicants are considered when space is available
  • Moving applicants from waitlisted status into an offer status
  • Identifying applicants through date management in the International SIS, COGNOS and Banner to identify and communicate with outstanding applicants, those who have approaching deadlines, have missed deadlines or have outstanding information to engage on application status
  • Monitoring and maintenance of applicant information in International SIS
  • Managing and maintaining electronic files in multiple locations (ie IAS, ISP, Banner and BDM) and ensuring all necessary documentation is received.
  • Generating admission reports to follow-up various categories of applicants
Applicant Status Changes
  • Acknowledgement of refund requests through OCAS International Applicant Service, confirming request details.
  • Acknowledgement of requests received through the online deferral request form and International SIS confirming request details
  • Ensuring request is accurate, following up on/resolving missing and/or incorrect information on requests,
  • Ensuring requests are reviewed and a decision is made (needs more information, approved or denied), in accordance with established service standard
  • Ensuring approved requests follow established application assessment and processing requirements, as outline above, to receive updated admissions documentation
  • Reconciliation of outstanding files and customer communication to ensure file is maintained accordingly
Applicant Support
  • Responding to specific questions from all applicants related to their academic path, course load, co-op placements, course exemptions, course of study or eligibility requirements (i.e. Visa) procedures.
  • Provides information and advice to all applicants on program options and services available, to assist applicant in determining the most appropriate programs available at Mohawk.
  • Promote college programs to both prospects and applicants during open houses, recruitment events and program orientations
  • Liaising with applicants while analyzing a problem, interpreting policy and guidelines and ultimately offering a solution. The incumbent must work within College policies, procedures and guidelines, and understanding requirements to be eligible to commence studies, including visa
  • Verifies and updates the various procedure documentation (for staff and students) regarding visa process, application procedures.
  • Developing and maintaining information resources and in-house references by country
College Support
  • Acting as a liaison between International Admissions and other College departments to effectively assist the applicants with any problems until their arrival at the College.
  • Act as a subject matter expert on admissions requirements specific for international applicants with academic areas for the purpose of new program development or changes in admissions procedures
  • Ongoing improvement of data quality reflected in range of reports drawing on admissions data
Other duties as assigned.
What you’ll bring to the role:
  • A minimum of three-year post-secondary diploma/degree in Business Administration, Marketing, International Business, Communications, or related fields; or equivalent combination of education and experience.
  • Minimum 3 years of experience with post-secondary and English as a second language programs and admissions processes including transcript evaluation.
  • Verbal and written communication skills; providing strong customer service.
  • Mandatory computer software applications, Integrated Information systems/databases, Microsoft Office and Web.
  • Recognized credential evaluation training through World Education Service (WES) and/or Education Credential Evaluations (ECE) would be considered an asset.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.
