POSITION INFORMATION:
Initiatives & Opportunities Position (Appendix K, see collective agreement), 12 Month Contract
Department: Employment Services
Hours: 35 hours per week (1) one hour lunch; Mon – Fri (8:30 am – 4:30 pm)
Reporting To: Jennifer Shand
Campus Location: Oshawa Site, Port Perry Site

DUTIES AND RESPONSIBILITIES:
The incumbent is responsible in the development and delivery of workshops to help racialized individuals and Indigenous Peoples prepare and find employment. The incumbent will assist in the day-to-day operation of the employment resource centre including performing reception duties for the centre such as greeting clients, answering the telephone, answering enquiries, and directing calls appropriately. The incumbent will assist clients through the delivery of employment related workshops, resumes, directing clients to assisted services or appropriate resources, assisting clients with the use of computers, orienting new clients to the centre, making referrals to appropriate agencies, tracking clients and doing follow-up, maintaining current resources including paper-based and web sites, marketing the centre’s services to the community, and networking with other service providers. The incumbent will develop new community partnerships and strengthen and maintain existing relationships. This role is one of coaching and facilitation.
Clients:
New Clients:
  • Provide reception to new and existing clients
  • Provide new clients with a tour of the centre
  • Assist clients with registration including, explanation of services available, client privileges and responsibilities, explanation of procedures
  • Explain procedures for computer usage
  • Provide individual needs assessments
  • Book appointments
  • Meet workshop targets for specialized services
Referred Clients:
  • Contact clients via phone, email and/or text
  • Explain available program and services
  • Assess needs, eligibility, suitability and motivation
  • Book appointment and/or refer to other suitable programs/services and/or organizations/agencies
  • Track/document referrals, contact attempts and fail to reports
Existing Clients:
  • Facilitate one-to-one and/or group workshops such as resume and cover letter development, job search strategies, labour market trends, assessment of skills, interview techniques, job searching on the Internet, etc.
  • Meet targets for number of clients attending workshops
  • Refer eligible, appropriate clients to assisted services (either walk-in or determined through telephone calls)
  • Assist clients who are unsure of career/job choices/job market by introducing them to the variety of computer programs and resources that explain salary, education, skills, and qualifications required for the areas the client is interested
Administrative Duties:
Resources:
  • Maintain an up-to-date list of job search websites
  • Maintain resource centre materials including updating materials as required to keep resource centre current and relevant
  • Research new resources such as video library materials, workshop materials and maintain master resource list
Follow-up:
  • Complete follow-up reminder calls, emails and/or texts
  • Survey employers and clients
  • Contact client(s) regarding job postings that would be suitable for their employment objectives and goals
Tracking:
  • Track the number of referred clients (ie: OW, ODSP, TRFs, RASPs)
  • Track the number of clients participating in specialized services
  • Track the number of clients that utilize the Resource Centre and the resources utilized
Outreach and Marketing:
  • Work with Social Services, community partners and other resource centres to ensure a consistent level of service for clients
  • Email current and past clients regarding events/workshops/job fairs
  • Conduct on-going marketing within the community including the provision of workshops geared to racialized individuals and Indigenous Peoples
  • Plan and facilitate local job fairs and information fairs, as part of the marketing of the Specialized Services
  • Prepare ads and articles for print media
  • Participate on committees that are relevant to the community and the Specialized Services
  • Maintain social media marketing tools such as employmenthelp.ca, Facebook and Instagram
  • Promote services to community organizations, employers and residents
  • Recruit/book guest speakers/facilitators for Specialized Services
QUALIFICATIONS:
  • A minimum of a 3-year diploma or degree in Employment Counselling, Human Service Worker, or Social Services.
  • A minimum of 3 years of work experience.
  • Demonstrated knowledge in labour market trends, employment conditions and community agencies. Excellent verbal and written communication skills
