The Opportunity: Porte Communities is seeking a dedicated and highly skilled Executive Administrative Assistant to join our team, supporting our President and key members of the Executive Management team. We are looking for an independent, resourceful, and proactive individual who thrives in a dynamic and fast-paced environment. This role requires someone who can efficiently manage administrative and operational tasks while continuously seeking opportunities to improve processes. Your ability to anticipate needs and resolve issues before they arise will be crucial to your success in this role.

The Opportunity: Porte Communities is seeking a dedicated and highly skilled Executive Administrative Assistant to join our team, supporting our President and key members of the Executive Management team. We are looking for an independent, resourceful, and proactive individual who thrives in a dynamic and fast-paced environment. This role requires someone who can efficiently manage administrative and operational tasks while continuously seeking opportunities to improve processes. Your ability to anticipate needs and resolve issues before they arise will be crucial to your success in this role.
Key Responsibilities:
- Calendar & Schedule Management: Oversee and coordinate calendars, ensuring seamless scheduling of meetings, appointments, and events.
- Travel Coordination: Plan and manage travel arrangements, including flights, accommodations, car rentals, and other logistics.
- Event Planning & Logistics: Organize and coordinate executive team programs such as meetings, seminars, workshops, and special projects. This includes sourcing venues, arranging transportation, and managing all other event-related needs.
- Client Coordination: Maintain and manage client communications and relationships, ensuring smooth interactions and follow-ups.
- Meeting Coordination: Schedule, plan, and organize both on-site and off-site meetings. Prepare agendas, take minutes, and set up and break down meeting rooms.
- Presentation Preparation: Convert data into visual presentations using Power Point, Word, and Excel to support executive communications.
- Confidential Documentation: Prepare and manage minutes for confidential executive meetings, ensuring accuracy and discretion.
- Administrative Support: Provide day-to-day administrative support for business operations and special projects, including managing expense reports and other assigned tasks.
- Experience: A minimum of 3 years in a similar role, supporting senior executives.
- Confidentiality & Ethics: Proven ability to uphold high standards of confidentiality and ethics, particularly when handling sensitive information.
- Organizational Skills: Exceptional organizational skills with the ability to prioritize tasks in a fast-paced environment with shifting priorities.
- Attention to Detail: A meticulous, detail-oriented approach to work, ensuring accuracy in all tasks.
- Interpersonal Skills: Strong interpersonal skills, with the ability to build and maintain positive relationships within the team and with external partners.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Proficiency: Proficient in MS Office, including Outlook, Word, Excel, and Power Point. Experience with pivot tables, V-Lookups, and Excel formulas is a plus.
- Industry Experience: Previous experience in the real estate industry is highly desirable.
- Additional Administrative Experience: Experience in administrative roles beyond executive support.
- Salary Range: $75,000 – $85,000.
- Referral bonus program.
