The Leasing & Legal Services Administrator at Western Securities Limited is a multifaceted role that involves providing critical administrative, legal, and leasing support to the Chief Legal Officer and the Director of Leasing. This position includes responsibilities such as creating various legal documents for property leasing, maintaining corporate records, and overseeing the efficient operation of leasing activities. In collaboration with the Director of Leasing, this role liaises with external stakeholders (including but not limited to tenants and brokers) to support the company’s growth through effective lease administration. Qualifications include proficiency in Microsoft Office, familiarity with commercial leasing documents, certification for Alberta Corporate Registry services, and substantial experience in commercial real estate. Expected Outcomes:
Leasing Support
● Support Leasing in preparing all lease documentation, including but not limited to offers to lease, leases, amending agreements, renewals, notices, and other related lease documentation.
● Working closely with the Director of Leasing to incorporate offers to lease, letters of intent, or proposals into leases with minimal supervision.
● Managing and updating legal information and lease details within the property management and leasing accounting system (Yardi Voyager).
● Support Director of Leasing in responding to RFPs.
● Acting as a liaison between tenants and landlords to address specific lease documentation issues and obtain clarifications.
● Developing innovative solutions for non-financial terms of tenant contracts in collaboration with Director of Leasing.
● Monitoring and maintaining property exclusives, identifying potential issues before preparing new offers with tenants.
● Addressing tenant requests for lease transfer packages.
● Analyzing and providing feedback on amending agreements and leases.
● Preparing and reviewing leasing services agreements
Legal Services Support:
● Preparing and filing corporate resolutions, annual returns, and other documents to maintain the organization's corporate entities in good standing.
● Drafting, reviewing and editing a wide variety of legal agreements and correspondence.
● Organizing and maintaining standard form contract templates and legal files.
● Overseeing the organization's records management system and providing guidance on proper record classification.
● Collecting and reviewing standard client documents.

Skills, Qualifications and Key Accomplishments:
Must-haves
● Certificate of completion of a Legal Assistant program from Alberta or equivalent experience.
● Complete proficiency in Microsoft Office applications
● 5 years of related work experience, preferably in commercial real estate
Nice-to-haves
● Familiarity with contract and property management and lease administration
● Ability to conduct searches at the Personal Property Registry and City of Calgary Tax Department
● Certification to perform Level 1 services at Alberta Corporate Registry (Level 2 certification is a plus)
