Office Services Support

Purpose of the role:
Wearing a variety of hats, the Office Services Team plays a vital role in both hosting external clients at BD&P's offices and ensuring internal clients have the office resources they need, when and where they need them, to provide top-notch legal services.

Reports To:
Office Services Team Coordinator

Duties and Responsibilities:
As a member of the Office Services team, the incumbent will carry out a wide range of general office services functions including Reception, Switchboard, Central Photocopy, Mailroom, Courier, and Coffee Service. Focusing on collaboration and teamwork, the Office Service Support will deliver exceptional customer service while meeting tight deadlines. Duties include but are not limited to:
  • Provide daily Reception relief and backup;
  • Order, unpack, and restock office and kitchen supplies;
  • Up-keep of the premises including boardroom set-up, furniture arrangements, catering, and clean-up;
  • Provide photocopying, binding, and scanning services to lawyers and support staff;
  • Process regular and registered mail, including mail sorting and internal mail delivery;
  • Track and process incoming and outgoing courier deliveries;
  • Daily kitchen clean-up;
  • Prepare coffee and other beverages for meetings;
  • Set up TV carts for meetings;
  • Request service for building maintenance through the online portal system;
  • Provide support in all Office Services functions; and
  • Other duties and responsibilities as required.
Education & Qualifications:
  • High school diploma;
  • Ability to lift 15kgs;
  • Working knowledge of Microsoft Office Suite;
  • Prior mailroom experience is required;
  • Experience in a reception or similar position is required;
  • Previous experience in a professional services firm is an asset
