Program Assistant for provincial government ministry client, downtown Toronto.

Job Type: Temporary.
Initial Term: ASAP for approximately 6 months, with possibility of extension.
Compensation: From $25.02 per hour to $29 per hour, according to experience.
Regular Work Hours: FULL TIME HOURS; 7.25 hours per day not including 1 hour unpaid lunch break, to be worked during regular business hours, Monday to Friday (36.25 work hours per week).
Work Location: Hybrid - combination of 2 days remote-based and 3 days onsite at client's downtown Toronto office, near TTC station. Fridays always remote-based. Onsite work expectations subject always to client business requirements, and may change according to client business need.

Responsibilities Summary:
Provide range of clerical, administrative, and related program support services to program managers and team, and respond to internal and general public inquiries as needed.
  • Coordinate branch management schedules. Make travel arrangements, schedule meetings and arrange conference calls.
  • Coordinate unit activities with other program units or operational areas such as human resources, finance or IT.
  • Prepare and compose correspondence, briefing notes, memos, reports and presentations from templates, or written or verbal instructions. Handle highly sensitive and confidential information.
  • Maintain office supplies inventory, and electronic and hard copy filing systems. Prepare mail and courier materials,
  • Conduct background research on designated subjects and prepare reports.
  • Respond to internal and general public inquiries.
  • Additional program administrative support responsibilities as required.
Qualifications:
Education: Post Secondary Degree or Diploma in public administration, business administration, or equivalent combination of education and work experience.
Preferred Work Experience: At least 3+ years of progressive office administration experience.
Preferred Sector Experience: Public sector or broader public sector program support experience preferred.

Technical and Language Skills Requirements:
  • Advanced Microsoft Office skills including Word, Excel, Outlook and Power Point (will be tested).
  • Strong data entry and typing skills (will be tested).
  • Sound knowledge of records management methodologies and best practices to maintain electronic and manual filing systems.
  • Strong English communication skills, both written and verbal, including strong level business writing skills, excellent spelling, grammar, proofreading and syntax, and professional telephone manners.

  • Ability to professionally respond to inquiries or complaints, obtain incident details, and refer matters as appropriate, ensuring confidentiality.
  • Ability to work as a team member to surmount internal and external job pressures. Proficient de-escalation skills. Excellent listening skills, and the ability to provide and receive effective feedback.
  • Demonstrated ability to develop and apply sound understanding of applicable program principles, governing legislation, policies, and best practices in order to handle or refer enquiries and provide program information.
  • Punctual, responsible, and reliable. Demonstrated record of professional conduct and character.
  • Focused and able to work effectively with minimal direction and supervision, to prioritize tasks effectively, and to manage volume targets and due dates.
  • Pleasant and courteous. Demonstrated commitment to client service and professional representation of the organization.
  • Proven ability to professionally handle confidential information and exercise good judgement in the interpretation and application of instructions and organization policy.
  • Superior attention to detail, and organized, methodical approach to completion of tasks.
  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.
Additional Requirements:
  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work both remotely and onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Provision of certification of AODA and OHSA online training course completion prior to assignment start.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
