Administrative Assistant Vice President Operations West China
An Administrative Assistant - Vice President Operations West China (Chengdu based) serving Hilton brand hotels and vacations are always working on behalf of our Guests and working with other Team Members.
What will I be doing?

As the Administrative Assistant, you will be responsible for performing the following tasks to the highest standards:
  • Provide administrative support to Vice President of Operations (VP Ops) on daily routine work.
  • Act as a first point of contact, dealing with correspondence and phone calls.
  • Manage diaries, organize meetings and appointments, controlling access as required to the VP Ops.
  • Organize events and conferences when required.
  • Remind the VP Ops of important tasks and deadlines.
  • Translate, type, compile and prepare reports, presentations and correspondence.
  • Manage databases and filing systems.
  • Implement and maintain procedures and administrative systems.
  • Liaise with Owners, hotel General Managers, Team Members and Guests.
  • Collate and file expenses.
  • Take on miscellaneous tasks to support the VP Ops, for example conducting research or to complete corporate governance reports to ensure that the business is being run properly and complies with legislation and regulations.
  • Prepare reports, data, presentations and correspondences as required.
  • Responsible for purchasing of expense items required by the Management.
  • Coordinate meetings, travel and accommodation requirements.
  • Complete other tasks or projects as required.

  • At least a BS / Bachelor's Degree
  • A degree in communications, technology or business is advantageous
  • Experienced in administration or personal assisting work
  • Able to be discrete and trusted with confidential information
  • Flexible and adaptable
  • Good verbal and written communication skills
  • Possess organizational skills and able to multitask
  • Able to be proactive and take initiative
  • Tactful and diplomatic
  • Proactive with good problem-solving skills
  • Knowledgeable of standard software packages and capable of learning company specific software if required
  • High proficiency in Microsoft Word, Outlook, Excel and Power Point
