Position Summary
We are looking for an Office Assistant to join our Copenhagen office for 10 hours per week on a rolling temporary basis.
The Office Assistant plays a crucial role in the daily and monthly operations of the Copenhagen office, providing essential support to the management team. This includes overseeing the office environment to ensure seamless operations. Additionally, the Office Assistant assists in the coordination of office events and meetings.
Major Responsibilities
- Treat health, safety and environment as top priority.
- Grocery shopping; both online and going to a store in the nearby area.
- Ensure kitchen and reception areas are always clean and tidy.
- Ensure adequate stock of stationery and kitchen supplies.
- Arrange meetings on request from Seapeak employees, including booking and preparing meeting rooms, carrying out catering requests and all other aspects of coordination.
- Arrange office events.
- Calendar/meeting coordination to include meeting invitations/office reminders.
- Arrange gifts or flowers for employees.
- Perform daily tasks such as handling physical mail and packages, changing the newspapers, emptying dishwasher and cleaning the coffee machine.
- Perform monthly tasks; including but not limited to forwarding endorsements to the designated employee.
- Forward physical and digital post for Seapeak to the designated employee.
- Conduct research and provide recommendations on various topics as needed, e.g., information from governmental entities such as Virk or Skat.
- Receive, organise and submit invoices for authorisation on behalf of the company.
- Assist other employees in organising, uploading, and submitting invoices for authorisation.
- Upon request, follow the process of adding new vendors to Oracle.
- Serve as the contact person for office partnerships, e.g., insurance companies, property administration, cleaning services etc., including periodic reviews.
- Serve as the contact person to the Danish tax authorities.
- Assist in the process of printing, signing and sending various documents.
- Attend the Canteen Tenant Association meetings representing Seapeak Denmark.
- Assist with HR administration.
- Carry out various other duties as requested by colleagues.
Requirements (Knowledge, Skills & Abilities)
- High level of organisational skills.
- Flexible and adaptable with ability to manage practical and desk-based tasks.
- Strong interpersonal, verbal and written communication skills in Danish and English.
- Capable of working independently, seeking instruction when needed. Deadline driven and able to meet required timelines.
- Ability to conduct research and provide information to decision makers on various topics, e.g., tax regulation, insurance, etc.
- IT and computer skills.
