POSITION DESCRIPTION
The Grants Portfolio Manager is responsible for overseeing all grant-funded projects within Amideast, including education and exchange programs, scholarships, study tours, entrepreneurship and workforce development initiatives, STEM learning programs, and disability programs. This role ensures alignment with the organization’s strategic objectives and maximizes the impact of funding received. Combining strategic planning, project management, and stakeholder engagement, the Grants Portfolio Manager effectively manages these projects to ensure efficient resource utilization, timely implementation, and significant contributions to portfolio growth. Amideast grants serve the people of Egypt, funded through U.S. government grants, private grants, or individual fee-for-service payments, with a focus on fostering sustainable community impact.
KEY RESPONSIBILITIES
1. Portfolio Oversight
o Manage and monitor the progress of all grant-funded projects, including exchange programs, scholarships, study tours, entrepreneurship and workforce development initiatives, STEM learning programs, and disability programs, ensuring alignment with organizational goals to achieve desired outcomes while adhering to timelines, budgets, and compliance requirements.
2. Strategic Planning
o Develop and implement strategies for securing new grants and optimizing existing funds.
o Contribute to program design during the strategy and business development phase of project development, ensuring alignment with organizational objectives.
o Set departmental strategies, yearly objectives, and Key Performance Indicators (KPIs).
o Stay informed about changes and developments in Egyptian public and private education to identify opportunities for Amideast.
3. Project Management and Implementation
o Oversee the management and implementation of all Amideast grant programs, ensuring timely execution of education and exchange programs, scholarships, study tours, entrepreneurship and workforce development initiatives, STEM learning programs, and disability programs.
o Design implementation plans for grant projects that align with organizational goals and community needs.
o Ensure that all projects provide comprehensive MEAL data to inform decision-making and track impact.
o Oversee the effective execution of all grant programs, including research, outreach, participant recruitment, placements, orientations, specialized programming, scholarship/grant monitoring, and client satisfaction.
o Manage certification processes, including proposing fees, budgeting costs, and ensuring customer satisfaction.
o Ensure all departmental processes are efficient and effective.
o Conduct outreach activities such as public speaking and media interviews to promote awareness of Amideast programs.
4. Stakeholder Engagement
o Collaborate with internal teams, including finance, program development, and communications, to ensure cohesive project execution.
o Coordinate with Amideast HQ, the Alexandria office, and other field offices as needed.
o Build and maintain relationships with funding agencies, partners, and community stakeholders.
o Foster collaborative relationships with the Ministry of Education, the Ministry of Higher Education, and educational and governmental institutions.
o Manage customer and partner relationships to ensure ongoing satisfaction with project outcomes.
o Actively network with local and international organizations involved in grants, scholarships, exchange programs, and STEM initiatives.
5. Donor Management
o Cultivate and manage relationships with donors, ensuring accurate reporting and responsiveness to their needs and expectations.
o Develop strategies to enhance donor engagement and foster the growth of donor partnerships.
o Provide comprehensive updates to donors on project progress and impact, ensuring transparency and accountability.
6. Budget Management
o Develop comprehensive budgets for grant proposals, ensuring alignment with project goals and adherence to funding requirements.
o Monitor and manage the financial performance of all grant-funded projects to ensure sound spending and compliance with budgetary guidelines.
o Provide guidance and training to project teams on budget management best practices, fostering a strong understanding of financial accountability and reporting processes.
7. Team Supervision
o Supervise departmental staff, providing direction and support to foster a collaborative environment and enhance performance in achieving project goals aligned with Amideast's mission and values.
o Conduct regular performance evaluations, set clear objectives, and facilitate professional development opportunities for team members.
o Oversee the distribution of roles and responsibilities among team members to maximize efficiency in managing grant projects.
o Address and resolve any challenges within the team promptly, promoting a positive and productive work culture.
o Ensure clear communication channels within the team to promote transparency and alignment on project objectives.
8. Monitoring, Evaluation, Accountability, and Learning (MEAL)
o Develop and implement MEAL plans, tracking tools, and mechanisms, ensuring alignment among all staff members.
o Conduct regular assessments to evaluate project performance, impact, and challenges, developing corrective actions as needed.
o Analyze data and outcomes from projects to inform future grant proposals and initiatives.
o Identify trends and opportunities for improvement within the portfolio.
9. Reporting and Compliance
o Prepare and submit comprehensive technical and financial reports to funding organizations, detailing project outcomes and expenditures.
o Ensure compliance with grant regulations and reporting requirements.
10. Capacity Building
o Provide guidance and training to staff and partners on grant management best practices.
o Facilitate workshops or sessions on proposal writing and project implementation.
Qualifications
- Bachelor’s degree in nonprofit management, public administration, or a related field (Master’s greatly preferred).
- Minimum of ten years’ experience in grant management, project management, or program development.
- Strong analytical, organizational, and communication skills.
- Experience leading and managing a team implementing diverse educational projects.
- Native-level fluency in spoken and written English and Arabic.
- Excellent oral and written communication and presentation skills.
- Demonstrated creativity, initiative, decision making and attention to detail.
- Ability to organize and maintain substantial amounts of detailed information.
- Ability to multitask and prioritize responsibilities.
- Ability to work independently and take responsibility.
- Excellent computer literacy in MS Office.
- Project Management Professional (PMP) certification or Project Management for Development (PMD Pro).
- Bachelor’s or master’s degree from a U.S. or Canadian university.
- Graduate degree in education, international development, or a related field.
- Experience administering Egyptian and/or U.S. education projects and exchange programs.
- Excellent written Arabic skills.
- TOEIC score of at least 900 or equivalent.
WORK ENVIRONMENT:
The incumbent in this position will work in a professional office environment with up to 10% business travel as may be needed to support project implementation.
