We are looking for Office Manager to join our team in Helsinki!



Key Responsibilities:


  • Oversee the day-to-day operations of the office and cafeteria, ensuring a well-organized and efficient work environment.
  • Manage office supplies, equipment and inventory, including ordering, stocking, and maintaining.
  • Coordinate and schedule meetings, appointments, and travel arrangements for staff and management.
  • Plan and organize company events.
  • Serve as the point of contact for vendors, clients, and visitors
  • Manage access control for the office, ensuring security protocols are followed and that employees have the necessary access to facilities.
  • Assist with onboarding new employees, including setup of workstations and orientation processes.
  • Supporting HR with employee related queries. E.g. work permits/visas, parental leaves, Kela.
  • Ensure compliance with Occupational Health and Safety standards and keep local policies updated to meet regulatory requirements.
  • Assist the accounting department with daily financial operations, including data entry, invoice processing, and reconciliations.
  • Support accounts payable and receivable functions, ensuring accurate and timely processing of transactions.


Requirements:

  • +3 years of proven experience in office management, administration or accounting.
  • Bachelor‘s degree in business administration or accounting.
  • Strong organizational and multitasking abilities, with a keen attention to detail.
  • Excellent communication skills, both written and verbal.
  • Basic understanding of accounting principles.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle confidential information with discretion.
