Depona, a leading information management company specializing in physical and digital archiving, is looking for an experienced Operations Manager to lead the Ryttylä site, which is the main and biggest Depona archive in Finland.
About the Role:
As the Operations Manager, you will be responsible for the overall management of the Ryttylä site, including its archives and related processes. Your role will be crucial in ensuring that everything from security to day-to-day operations runs smoothly.
Key responsibilities:

• Site Leadership: Oversee the daily operations at Ryttylä, ensuring the safety, security, and efficiency of the site.


• Project Management: Lead large scanning and digitization projects, ensuring they are completed on time and that they meet the high standards of quality and safety.


• Staff Management: Manage a small team, including handling HR tasks such as sick leave and performance reviews.


• Customer Interaction: Act as the primary point of contact for clients, particularly banks and insurance companies, ensuring their needs are met promptly.


• Problem Solving: Address any issues that arise, from technical malfunctions to operational challenges.


• Process Improvement: Continuously seek ways to improve processes and implement best practices.


• IT Management: Ensure that the IT infrastructure at the site is reliable and meets the needs of ongoing projects.


• Reporting to central organisation in writing is an integrated and important responsibility


• Compliance: Ensure that the site meets all relevant certification requirements, including information security and environmental standards.


• Hands-on Approach: Be ready to get involved directly in various tasks, from equipment repairs to overseeing large-scale projects.

Success in the task requires:

• Proven experience in operations management, logistics, IT, or a related field, including experience in leading a small team.


• Fluency in Finnish is required and either fluent/very strong English or comfortable Swedish is required due to the close collaboration with the parent company in Sweden.


• Strong IT skills, particularly related to digital archiving and scanning technologies, and familiarity with physical archive management is a plus.


• A proactive approach to problem-solving, with a focus on maintaining high standards of quality and efficiency.


• Ability to interact with clients, understand their needs, and deliver tailored solutions is crucial.


• Flexibility and a willingness to handle a wide range of tasks, from strategic planning to hands-on problem-solving.


• Reliability, a strong sense of responsibility, and the ability to handle unexpected challenges, even outside of regular working hours.
