Summary / purpose of the position

As part of our global strategy in Real Estate and Facility Management and the creation of our 4 new hubs, the Regional Workplace and Facilities Director will have to develop the Regional workplace and Facilities strategies that create effective environments and ensure that employee experience is at the heart of all workplace decisions. He/she will lead on developing the regional workplace strategy, working closely with key business stakeholders across functions to capture relevant inputs and integrating the Ipsen brand and culture into workplaces. The Regional Workplace and Facilities Director will lead on engaging with the business to gather regional requirements.
The scope of responsibilities could be : Commercial sites , Non-technical Laboratory and Non-technical Manufacturing offices (excl. process plant). To be confirmed.

Main responsibilities / job expectations
  • Key Accountabilities:
  • Accountable for developing Regional workplace and facilities strategies that deliver against strategic Ipsen objectives and ensure employee experience is at the heart of strategies
  • Leads on aligning regional workplace and facilities strategies to regional business needs and priorities.
  • Accountable for continually reviewing the regional portfolio to identify opportunities to drive workplace and facilities improvements and deliver value, aligned to Ipsen objectives and changing business requirements
  • Responsible for developing regional minimum workplace design standards and processes, ensuring they align with wider workplace guidelines and drive consistency across the portfolio
  • Leads on engaging with senior stakeholders to understand regional strategies / initiatives and ensure business requirements are met.
  • Develop a programme of work to improve workplace quality and standards. This could include the leadership of expansion and refurbishment projects, innovation and technical implementation, cultural initiatives and significant change management.
  • Ensure that all areas of property management throughout the property life cycle supporting sustainability targets.
  • Accountable for driving a robust and effective health and safety agenda across all areas of our estate and its delivery, that complies with all legislative requirements and policies to ensure a safe working environment for all staff and customers.
  • Continued development of the FM services strategy, ensuring appropriate SLA’s and KPI’s are developed and implemented.
  • Manage Tier 1 service provider’s performance across the region.
  • Effectively and accurately manage the Facilities budgets for the region, developing key relationships with the business and Finance functions to ensure accurate forecasting and reporting of Facilities costs.
  • Regional Workplace and Facilities Strategy & Vision:
  • Leads on aligning regional workplace and facilities strategies to regional business needs and priorities
  • Accountable for ensuring the Ipsen brand and culture is integrated into workspaces, and that the strategy can be supported operationally (e.g. technology, people and facilities management), to enable productive working
  • Collaborates on developing the strategy for technology in the workplace to ensure employees have the right technology to achieve strategic goals and work productively
  • Leads on identifying external trends and industry leading practices that can be incorporated into regional real estate strategies and initiatives to drive value and improve business delivery
  • Regional Stakeholder Engagement:
  • Leads on engaging with senior stakeholders to understand strategies / initiatives, and identify workplace and workplace experience requirements
  • Acts as an ambassador for collaboration, proactively engaging with teams across the business and developing strong networks
  • Provides workplace and workplace experience expertise to enable effective decision-making across the business
  • Shares external market insights with the business, providing recommendations that will drive improvements and deliver value
  • Works closely with the Real Estate and Facilities team to cascade initiatives and requirements shared by stakeholders
  • Regional Workplace and Facilities Management:
  • Accountable for continually reviewing the regional portfolio to identify opportunities to drive workplace experience and facilities improvements and deliver value
  • Leads on the prioritisation of regional workplace major projects, working closely with the Major Projects Team and Real Estate team to ensure projects align to Ipsen objectives and deliver value
  • Reviews regional workplace plans in response to requirements, to ensure alignment with regional strategies and understand any implications across the portfolio
  • Works closely with the Global Workplace Strategy, Global Real Estate Lead, and Global Project and Analytics Directors to identify future challenges and proactively navigate organisational barriers to deliver value
  • Embeds the core Ipsen values across the team
  • Regional Workplace Supplier Management:
  • Responsible for the delivery of workplace and FM services (e.g. space management, occupier data…)
  • Owns and manages the regional relationship with preferred workplace suppliers, assessing performance against defined KPIs and metrics
  • Acts as the main point of escalation for critical supplier performance issues/risks relating to workplace services and facilities
  • Works closely with Procurement to ensure supplier contract costs relating to workplace activities are cost effective
  • Regional Workplace and Facilities Policies, Processes and Standards:
  • Accountable for developing regional workplace and facilities design and minimum standards, ensuring they align with wider workplace guidelines and drive consistency across the portfolio
  • Accountable for ensuring regional workplace and facilities standards align with wider workplace guidelines, and that compliance measures for risk, safety and environment are met
  • Responsible for developing processes to aid employees, support functions and users of the office space to adapt to changes, understand workplace policies and ways of working
  • Regional Workplace and Facilities Risk Management:
  • Leads on resolution of workplace risks, making strategic decisions on the appropriate course of action and escalating to the Global Head of Real Estate & Workplace, when required
  • Responsible for creating safe workspaces, that align to health, safety and environmental standards, internal policies and legislation
  • Operational Excellence and Business Performance Management:
  • Manages and monitors the Workplace and Facilities against key metrics
  • Creates an environment that fosters a culture of inclusion and respect, and ensures team members are always acting ethically

  • Compliance:
  • Embeds Compliance Culture across all regions of the business ensuring Integrity in Action is actively applied in all initiatives
  • Ensures team members strictly adopts a culture of ethics and compliance; leading by example and appropriately challenging non-compliance
  • Ensures adherence to Ipsen policies relating to Ethics and Compliance standards

Knowledge, abilities & experience

Education / Certifications:/Experience:
  • 7 to 10 years’ experience within a workplace and / or facilities management and /or hospitality background
  • Pharma, or other (e.g. consumer) sector experience and knowledge
  • Evidence of working with Customers to build regional workplace and FM strategies
  • Experience of delivering FM cost saving and enhanced workplace experience
  • Proven leadership and people management experience including commitment to develop, coach and enable high performance standards within the team
  • Excellent communications skills (active and passive).
  • Ability to operate independently and use own initiative
  • Graduate or equivalent professional qualification and proven expertise
  • Nationally recognised Environmental, Health and Safety qualification - desirable
  • Fluent in written and verbal business french & english
