JOB TITLE: Soft Services Supervisor and Water Protection Advisor

Location: Paderborn, Mönchengladbach
Business Unit: Mitie Defence Ltd (Germany and Wider Europe (GWE)). Sennelage Based but required to travel on occasion.


Purpose of role: Effective delivery of the Soft Services requirements to the Client in support of the Soft Services Supervisor and responsible for Water Protection Compliance Liaison and Advice to the Mitie Team.
Major Tasks and Activities:

• Logging service requests, issues and communications with sub-contractors and customer alike.
• Planning, resourcing, and service delivery of directly delivered and call off sub-contracted soft services.
• Maintain Schedules on services provided and document changes in the quantities.
• Experience of checking invoices and associated documents for services used.
• Prepare reports for the Mitie SLT on monthly usage of supported services for financial performance on contractors and customer alike.
• Ensure all issues are documented and results reported to the Additional Services Manager
• Maintain a positive health and safety culture personally and comply with the organisation policy through their own actions and omissions as well as reporting any issues found.
• Advise the Client and Senior Mitie Leaders on Water Protection Compliance matters and ensure Mitie Defence Ltd is technically and legally compliant on this subject.
• Liaison with the Local Authorities and Bi MA (Estate Landlord) on behalf of Mitie where required.
• Attend Training courses relevant to the role.
• Will be required to travel around Germany and occasionally to Italy.

Key Outputs/Deliverables:

• Ensuring services are delivered on time, to least cost (Quality Supervision).
• Perform monthly checks and ensure corrective action is carried out where shortfalls occur.
• Consulting and support.
• Reporting.
• Effective processing of Supplier Invoices on the dedicated software system (COUPA)

Person specification:
Essential:

• Proven track record in a similar role.
• Experience of NATO Forward Mounting and Holding Base (Sennelager) (NFS) procedures and working on Germany and Wider European stations.
• Understanding of the COUPA Supply Chain Software system (Trg will be provided if required).
• Proven knowledge of both English and German Languages verbally and written.
• Ability to communicate effectively with customer and service provider alike in either English or German.
• Team player (“we are one Mitie”) with the ability to work on own initiative where required.
• Experience in Supply Chain Management and contracts is desired.
• Any other tasks within the scope of a Mitie Team Assistant.

Competencies:

• Working knowledge of E-procurement systems, Maximo (training will be provided), IMS and IT Literate (MS Office 365).
• Previous knowledge of contract management and supplier liaison/management.
• Experienced in Water Protection liabilities and management of end users/environmental organisations.

Personal:

• High application readiness and flexibility.
• Trustworthy – able to deal with confidential information appropriately.

• MOD security clearance required.

• Clear Criminal record certificate.

• Valid driving licence class B.

• Must be a registered Resident in Germany.

• Willingness to travel around the areas of responsibility when required.
