The Course and Conference Office (CCO) is responsible for the logistical and operational fulfilment of EMBL’s mission to provide exemplary training for the life sciences, making the laboratory the leading learning and meeting place for biologists in Europe. Join the team that delivers a world-class programme of international conferences, courses and events, primarily at the striking Advanced Training Centre (ATC). The ATC is EMBL’s purpose-built venue, centred on a large conference auditorium, wet laboratories and computer-based training rooms and complete with exhibition and social spaces designed to foster networking and collaboration. We offer an international working environment with superb benefits and facilities for staff.
In 2025 the Course and Conference Office will be delivering a programme with multiple sold-out exhibitions and custom sponsorship packages. As a result, this newly developed one-year part-time position is needed to support the sponsorship acquisition, event planning and delivery.
The post sits within the Finance and Sponsorship section of the Course and Conference Office and works closely with all aspects of the team. The post is based in Heidelberg with the team working flexibly between home office and our offices in the Advanced Training Centre. The post involves occasional evening and weekend work at events with sponsor exhibitions.
If you are looking for more than 20 hours per week, you might also wish to apply in parallel for other roles currently advertised in the team (see our ‘Events Assistant’ role). Job shares or combining of roles within the CCO to fit the availability of suitable candidates will be considered.
The interviews for this role will be held on 18th September with a planned start date of 1st November 2024.

Your role
- Support acquisition of industry sponsorship of EMBL’s courses and conferences
- Support the onsite liaison with exhibitors and sponsors for events at EMBL’s Advanced Training Centre by arranging exhibition stands, workshops and other sponsor activities
- Work with customer relationship management databases and other events software to manage sponsorship and exhibition bookings, invoicing and attendee registrations.
- Maintain sponsors’ / partners’ acknowledgement on event websites and platforms, in print and other digital and physical display channels.
- Building and maintaining good relationships with internal and external partners, scientific organisers and industry customers.

- The contract duration is of 1 year.
- The working hours are 10-20 per week
- The working language of the institute is English, German is considered to be advantageous here.
