Accountant Assistant / Invoice Coordinator

The Accountant Assistant / Invoice Coordinator reports functionally to the Finance Manager Greece & Cyprus and administratively to the Head of Sales Greece & Cyprus and helps us meet our targets by ensuring that sales are invoiced promptly and ledger balances are an accurate reflection of collectable debts. This position will collaborate closely with Sales personnel functions. Kongsberg Maritime have a broad product portfolio, and we are looking for a person who is able to oversee our billing operations. The Accountant Assistant/Invoice coordinator will be responsible for creating and sending invoices, tracking payment processes, keeping meticulous records and following up on any issues relating to the billing process. The team based in Greece works closely with product experts and sales experts at HQ, and together our global teams provide excellent customer knowledge and relations combined with deep product and system knowledge.

In this position your main responsibilities are:
- Ensure that all sales invoices/credit notes are processed accurately, on time and in accordance with accepted revenue recognition principles
- Delivery notes issuance
- Prepare invoice corrections and credit notes when indicated
- Ensure that credit notes are authorised in advance of being processed
- Ensure that Kongsberg Maritime Hellas complies with customer requirements in relation to invoice issuance and submission
- Process customer payments on receipt and ensure that they are allocated correctly and in full
- Administrative tasks in ERP
- Accounting registration in local ERP of spare parts and service invoices
- Monitoring of spare parts balances (quantities check/control)
- Provide details of cash receivable
- Highlight and resolve disputed invoices
- Follow up of outstanding invoices with customers
- Ensure that appropriate Key Performance Indicators (KPIs) are implemented and achieved to secure performance and deliver continuous improvement
- Bachelor Degree in Finance, Business or equal is preferred
- Attention to detail with an ability to reconcile complex accounts
- Able to meet deadlines through good time management and allocation of priorities
- Commitment to providing a high quality of service to external customers
- Ability to work independently and systematically
- Strong working knowledge of MS Office
- Good communication skills in both English and Greek
- Produce fresh and imaginative ideas and solutions
- Work effectively across our organization, liaising with regional sales people, HQ sales teams and product experts and teams
- Communicate in a clear, precise and structured way
- Proactive, constructive and actively looking for solutions and collaboration
