Key Duties and Responsibilities

Forecasting accommodation requirements and prepares reports for the Mgmt., when required.

Participates in viewings and relevant meetings with involved Real Estate companies and property owners.

Keeps a record of all furnishings and equipment by Unit.

Maintains room keys copies, as per corporate policy.

Liaises with various departments for all maintenance and repair work, room cleaning activity and other.

Liaises with pest control contracted company to ensure effective program is in place.

Ensures necessary first aid is available at accommodation site, all the time.

Keeps good relations with local authorities and suppliers to ensure compliance with all regulations and standards.

Unit allocation to both new hired and existing colleagues, based on availability as well as on

the corporate policy.

Maintains accurate records of Unit and bed allocation; by name, position, employment period, contact details and other.

Processes all live in and live out application forms correctly and punctually to ensure correct Unit allocations in line with Accommodation Policies.

Ensures that all department reports and correspondence are completed punctually and accurately to ensure compliance with audit procedures.

Ensure all welcome kits, as part of the on-boarding process, are prepared for new colleagues upon arrival to the accommodation and personally welcome them (check-in).

Oversees the on-boarding activities to ensure accommodation for all colleagues are set up based on One&Only standards and ensure colleagues’ arrival process is efficient and welcoming.

Handles colleague complaints and feedback according to company standards to ensure quality objectives are measured and established and actively participate in the review of these objectives.

Establishes and maintain effective business processes in the accommodation to ensure efficiency and service for all colleagues.

Conducts checks to ensure safety and cleanliness of the properties; takes corrective actions to rectify any issues.

Inspects the accommodation to ensure that hygiene and health and safety regulations are met, carries out risk assessments as necessary.

Supervises accommodation attendants to ensure that all cleaning and maintenance is carried out to the highest standards, at all times.

Keeps proper record of maintenance jobs, utilities consumption and all incidents (if any); submitting a consolidated monthly report to the HR Manager.

Attending to any emergencies and disputes occurring in staff accommodation.

Conducts preliminary investigation for any Disciplinary issues and reports such issues to the HR Mgr.

Ensures efficient management of the accommodation office, processes and procedures to ensure colleagues satisfaction.

Assists the HR Manager in outsourcing services for colleagues’ accommodation, security and facilities management to ensure safety amongst colleagues.

Responsible in the implementation and ongoing maintenance System to ensure accurate and up to date records.

Positions Requirements

Professional experience in Luxury Hospitality industry, desirable.

Excellent presentation and communication skills.

Fluent in Greek & English language.

Integrity and team-oriented profile.
