The Facilities team is responsible for the operation and logistics, including office maintenance, fleet management, flights and travel, mobile management, conference organizing, visiting guests from abroad, and more.
The role reports to a senior facilities manager and requires high energy and attitude, as well as the ability to work independently and collaboratively.
We are looking for a person who will oversee daily office operations and site events. In charge of employee’s office experience, plan, and execution.

The role reports to a senior facilities manager and requires high energy and attitude, as well as the ability to work independently and collaboratively.
We are looking for a person who will oversee daily office operations and site events. In charge of employee’s office experience, plan, and execution.

Your Role:
- Responsibility for the ongoing and daily office operations for two sites in Thessaloniki: Kato Scholari and Thermi.
- Responsible for all aspects of the organization’s facilities management to ensure the buildings' cleanliness, safety, and security 24/7. Manage four direct report supervisors.
- Ensure that our facilities are fully operational and that all utilities function properly.
- Ensure the Best place-to-work environment within the region.
- Act as a point of contact with the building’s landlords, building financial aspects, vendors, and other related professionals, including contract negotiations.
- Renewal of leases for the office.
- Working with consultants, risk management, and fault management in real time 24/7.
- Identify operational cost savings opportunities.
- Provide detailed financial reports, control budgets, review contracts, and choose vendors and products.
- Ensure implementation of safety and security procedures on site as per local safety.
- Review cooling, electricity, and water usage and advise on proposals for reducing usage.
- Manage the budget of the food and beverages plan for the office.
- Review sitting and parking arrangements for the employees.
- Manage space planning, coordinate changes, and keep internal systems updated.
- Partner effectively with key groups such as IT, Safety and Security, Procurement, and Finance. Maintain regular communication with various stakeholders to ensure that all concerned parties are well informed on relevant topics.
- Oversee vendor procurement process, which includes raising relevant PR/PO, and invoice processing.
- Responsible to manage travel arrangements: guests and internal travelers.
- Collaborate with the relevant departments for the End-to-end local events production, both online and onsite, make them markable and unforgettable.
- 5+ years experience in a similar role.
- Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management.
- Bachelor's degree in Business or equivalent professional-level experience.
- Strong project management skills.
- Positive and excellent communication skills, ability to work effectively across the organization and create memorable experiences for our team and the company’s culture.
