Role Purpose
To ensure that customer service is of high standard and relevant to the needs of our target audience in support of British Council objectives in Hong Kong.
Role context
To provide administrative support to the SCM team to ensure operations run in high quality and an efficient way.

Main accountabilities but not limited to the following:
1. To provide administrative support throughout the term/semester course and all marketing related campaign/promotion.
  • Set up student information in Primary Plus portal.
  • Liaise with teacher for in class placement test.
  • Responsible for reporting student progression.
  • Prepare Adult and Young Learner registration materials (letter/EDM/SMS/email) by communicating with SBUs.
  • Responsible for outgoing correspondence of products and promotions.
  • Update student absent records.
  • Keep all forms and templates are up-to-day.
  • Record students with special education needs.
  • Prepare student reports / certificates and send it to students or parents.
  • Administrative support for marketing programmes e.g. referral redemption letters.
  • Provide data to marketing team as per request.
2. To prepare statistics figure and data input in timely and accurate manner.
  • To input Teaching Centre data in relevant systems (SMS, OBS, and CRM etc.) and to ensure that all databases and reports are updated and recorded in a timely and accurate manner.
  • Prepare weekly statistics for enquiry figure for management review.
  • Create My Class student accounts and update related information in OBS system.
  • Create CRM records.
3. Operations
  • To provide operational support to the wider Sales & Customer Management (SCM) team to meet all KPIs as set out by the Council.
  • To register/reserve/waitlist new and existing students accurately and in appropriate classes and details are entered in the system accurately.
  • To ensure that records are maintained and updated from time to time.
  • Answer / transfer inbound calls with a polite and pleasant manner providing accurate and timely information.
  • Any other duties as assigned by the Line Manager.

Requirements:
  • The British Council systems and global processes operate in English. Written and verbal proficiency in English is required.
  • Good command of Chinese
  • Able to communicate in Mandarin
  • Tertiary education preferred

Role specific knowledge and experience:
Minimum/essential
  • Experience of administrative experience in a customer service/sales environment
  • Data input and statistics keeping and reporting
Desirable
  • Knowledge of Customer Relationship Management (CRM)

Role specific skills:
  • Good IT skills-use of spreadsheet, accurate data input, mail merging

Further Information
Pay Band: Hourly-paid (HKD75 per hour)
Contract Type: 1-year fixed term contract
Location – Admiralty - British Council, Hong Kong
Other Requirements
– As we cannot sponsor work passes, applicants must already have the right to live and work in Hong Kong.
– As part of the wider Sales and Customer Management team serving both new and existing customers, you will be required to support and assist your colleagues from time to time in tasks that ensure the Sales team meets all KPIs set by the Council. These include participation at Sales & Marketing Events, Open Days, Parent Events, Seminars, Evening Receptions, off-site branches and Examination Promotions for example.
– The successful candidate will work a regular pattern on Tuesday, Thursday or Friday, and Saturday.
