The Role

The Manager - Board Support Services role at Waystone is an integral part of the Board Support Services team, working closely with the Managing Directors, Directors, Associate Directors and Associates at Waystone to ensure quality and consistent client service delivery. The Manager - Board Support Services will assist with the management of a team of Associates and Senior Associates responsible for Board Support across our global offices, including but not limited to the Hong Kong, Ireland, Northern Ireland and Canadian offices.

Functions of this role will include the management of a team of staff, scheduling of meetings, preparing and/or reviewing board packs, drafting minutes, facilitating completion of post meeting action points and monitoring review and completion of meeting minutes. The role will service and maintain relationships for a portfolio of clients with complex structures and/or demanding needs and provide oversight and guidance on the portfolio of client relationships for their team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The Manager - Board Support Services will:
  • Assist the Associate Director - Board Support Services with leading the global board support services team providing Waystone board support services for a diverse, complex portfolio of clients including, but not limited to, being client-facing, organizing board meetings, liaising with all attendees, gathering and distribution of materials for presentation to the board of directors, drafting of board minutes and preparation of any related checklists, notices or agendas.
  • Set and monitor performance goals of team on an ongoing basis, undertaking performance management and performance reviews. Ensure all team members are aware of board meeting service standards and that these needs are being met.
  • Monitor team members' KPIs, implement and manage projects in respect to KPI deliverables and report to the business unit management.
  • Regularly monitor work being processed and capacity and reallocate work among team members, as necessary. Ensure department provides support to Waystone teams to ensure appropriate and real-time information is included in all board materials and that a quality peer review is completed on all packs.
  • Monitor workflow for board meeting minutes;
  • up as appropriate with Associate Directors and Directors to ensure timely turnaround.
  • Provide input to define appropriate exception and management reporting related to board support services.
  • Train and mentor the board support services team's associates and senior associates across all our offices.
  • Foster a positive environment through open communication and willingness to get all assigned work completed.
  • Identify opportunities for cross-selling Waystone products and ensure team knowledge of products is at standard required to make such recommendations.
  • Prioritize time and risk levels appropriately.
  • Keep abreast of regulatory changes.

Education:
  • An appropriate degree

Experience:
  • Relevant management experience.
  • Relevant funds, jurisdiction and company secretarial knowledge.
  • Outstanding time management, organizational skills, oral/written communication skills, critical thinking and attention to detail is required.
  • Must be able to work in a fast-paced environment including reporting and providing support to various members of the team.
