Senior Front Office Coordinator

As a Senior Front Office Coordinator, you will play a crucial role in the internal business support plus the implementation and ongoing success of the Ariba Source to Pay solution within our Group Purchasing Excellence team. This position focuses on supporting procurement activities by assisting internal clients, facilitating supplier enablement, inviting vendors to onboard onto the system, and supporting change management initiatives associated with the implementation. The role requires a blend of basic procurement knowledge, exceptional communication skills, and a foundational understanding of Business Support / Procurement Support Services.
Your main responsibilities:
- Business Support: Assist internal clients and internal teams by managing inquiries related to procurement processes. Escalate complex cases and ensure smooth procurement operations and timely resolution of requests via ticketing, mail and phone.
- Stakeholder Engagement: Serve as a primary contact for internal stakeholders, providing consistent support and training on the new system. Maintain strong relationships to foster stakeholder engagement and satisfaction.
- Training and Education: Create and conduct educational sessions and materials for users across the organization to deepen their understanding of the Ariba platform and its functionalities.
- Change Management Support: Assist in managing the change process as the organization transitions to the Ariba Source to Pay tool, ensuring smooth adaptation and minimal disruption.
- Supplier Enablement: Actively support the supplier onboarding process by inviting and guiding vendors to join and integrate with the Ariba system, ensuring a smooth transition.
- Process Optimization: Monitor system usage and identify opportunities for improving efficiency and effectiveness within the Ariba platform.
- Communication: Keep all relevant parties informed of project status, challenges, and milestones through clear and effective communication.
- Documentation and Compliance: Ensure all project documentation is maintained accurately according to company standards, and assist in developing policies and procedures that align with procurement best practices.
Your background
We imagine that you have:
- 3+ years experience in a procurement or administrative role, preferably with some exposure to project support or a related capacity or 3+ years experience in Business Support preferably in a Shared Service environment.
- Bachelor’s degree in Business Administration, Finance, or related field is an advantage.
- Excellent written and verbal communication skills in English.
- Basic project management and organizational skills.
- Good understanding of internal support activities
- Understanding of procurement processes, ideally with some familiarity with Ariba or similar procurement solutions.
- Ability to engage and educate new users on technology processes.
- Strong customer service orientation with a keen interest in procurement technologies
