We are seeking a highly organized and detail-oriented Document Control Manager to join our Quality and Reliability team. This role acts as a quality leader for the company by managing our document management system and associated business processes to ensure compliance with customer requirements, external standards, and internal specifications.
The Document Control Manager is responsible for developing, managing, and maintaining the document control systems and processes for a development company that collaborates with contract manufacturers to produce its products. This role is critical in ensuring that all documentation is accurate, up-to-date, compliant with relevant regulations, and aligned with ISO standards. The Document Control Manager will lead the ISO certification process, support vendor audits, drive audits to achieve ISO compliance, and chair the Change Control Board.
Responsibilities
Document Management System:
· Develop, implement, and maintain a centralized company document control system for efficient storage, retrieval, and distribution of documents.
· Establish and enforce document control procedures, including document numbering, version control, and approval processes.
· Enforce strict confidentiality of the company proprietary documents.
· Ensure consistency of document formats with defined templates, and quality checks.
· Ensure that all controlled documents are properly identified, filed, and archived.
· Continuously evaluate and improve document control processes to enhance efficiency and accuracy.
· Provide training and support to internal teams and external partners on document control processes and tools.
· Provide regular reports to management on document control activities, compliance status, and areas for improvement.
Change Control Board Chairperson:
· Serve as the Change Control Board Chairperson, scheduling meetings, preparing agendas, documentation, and then leading cross-functional meetings to obtain approval and finalize engineering drawings, procedures, quality specifications, and other critical documents.
· Ensure that all relevant stakeholders, including vendors, have access to and receive updates on changes to documentation.
· Collaborate with the team to develop and refine the approval process for documentation changes.
Compliance and Quality Assurance:
· Ensure that all documentation complies with applicable regulatory requirements, industry standards, and company policies.
· Coordinate and conduct regular audits of the document control system to ensure ongoing compliance and identify areas for improvement.
· Support audits, inspections, and regulatory submissions in collaboration with the Quality Assurance team for contract manufacturers and suppliers.
ISO Certification and Compliance:
· Organize and lead the process for obtaining and maintaining ISO certification, ensuring alignment with ISO 9001 and other relevant standards.
· Develop and implement processes to monitor and ensure ongoing compliance with ISO requirements internally and with vendors.
· Lead internal audits and coordinate with external auditors to achieve and sustain ISO certification.
· Ensure these certifications are maintained and mentioned in marketing collateral (web pages, brochures, manuals, …)
Collaboration with Contract Manufacturers:
· Serve as the primary point of contact for document control between the company and contract manufacturers.
· Ensure that all documentation related to product development, manufacturing processes, and quality control is accurate, complete, and up-to-date.
· Assist in monitoring and maintaining the Quality Management System (QMS) with activities such as facilitating quality batch record review/release, as well as assisting in closure of Change Controls, SOP revisions, Non-Conformance and Corrective Action and Preventive Action (CAPA) investigations.
Product Lifecycle Management and Software Expertise:
· Work with Product Lifecycle Management (PLM) software to manage document control processes.
· Use Solid Works and other relevant tools to create templates, update documentation, and ensure that changes are accurately reflected based on engineering direction.
· Ensure documentation is properly integrated and maintained within the PLM system.
Project Support:
· Support product development teams by managing documentation related to new product introductions, engineering changes, and process validations.
· Ensure timely and accurate documentation to support project timelines and milestones.
Skills and Qualifications:
· Bachelor’s degree in a related field (e.g., Business Administration, Quality Management, Engineering).
· Minimum of 5 years of experience in document control management, preferably in a manufacturing or product development environment.
· Experience working with contract manufacturers and understanding of manufacturing processes.
· Strong knowledge of regulatory requirements, industry standards (e.g., ISO 9001), change control process
· Experience in Internal Audit, Internal Audit Certification
· Proficiency in Document Control Management software, Product Lifecycle Management (PLM) software, Document Storage System such Share Point etc.
· Data Analysis and Interpretation
· Excellent organizational, verbal and written communication, and interpersonal skills.
· Ability to manage multiple priorities and work effectively in a fast-paced environment.
· Attention to detail and a strong commitment to quality and compliance.
· Proficient with Microsoft office software
· Excellent interpersonal, verbal, and written communication skills
· Excellent customer service to internal and external users of documents
· Nice to Have: Solid Works or CAD software exposure
