Job Overview:
We are seeking a detail-oriented and organized Document Scanner Clerk to join our team. The ideal candidate will be responsible for scanning, indexing, and managing documents to ensure efficient retrieval and archiving. This role requires strong attention to detail, excellent organizational skills, and the ability to handle sensitive information with confidentiality.
Key Responsibilities:

Document Scanning:
- Operate high-volume scanning equipment to digitize paper documents.
- Ensure the quality and clarity of scanned images, making necessary adjustments to settings.
Indexing and Data Entry:
- Assign appropriate metadata and index scanned documents for easy retrieval.
- Enter and update information in electronic document management systems.
Document Preparation:
- Review and prepare documents for scanning, including removing staples, paperclips, and ensuring documents are in good condition.
- Organize and categorize documents based on departmental guidelines.
Quality Control:
- Conduct quality checks to verify the accuracy and completeness of scanned documents.
- Address and resolve any scanning errors or issues promptly.
Record Maintenance:
- Maintain accurate records of scanned documents and their corresponding metadata.
- Archive and retrieve physical documents as needed, ensuring proper storage and organization.
Confidentiality and Compliance:
- Handle sensitive and confidential information with the utmost discretion and in accordance with company policies and legal requirements.
- Ensure compliance with data protection regulations and company guidelines.
Team Collaboration:
- Work closely with other team members to ensure smooth workflow and efficient document management.
- Assist in training new staff on scanning and indexing procedures as needed.
- High school diploma or equivalent; additional certifications or coursework in office administration or related field is a plus.
- Previous experience in a document management or administrative role preferred.
- Proficiency in operating scanning equipment and document management software.
- Strong attention to detail and ability to work with minimal supervision.
- Excellent organizational and time-management skills.
- Ability to handle sensitive information with integrity and confidentiality.
- Good communication skills and ability to work effectively in a team environment.
- Ability to sit or stand for extended periods while operating scanning equipment.
- Manual dexterity to handle documents and operate scanning machinery.
- Occasionally lift and move boxes of documents weighing up to [insert weight].
- Office environment with exposure to standard office equipment.
- Potential for repetitive tasks and extended periods of computer use.
- $16-$20hr
