Project Coordinator / Bookkeeper

BASIC POSITION FUNCTIONS
- Understands and promotes Company’s Mission, Vision, and Objectives.
- Communicates effectively and efficiently via telephone, text and email.
- Utilizes accounting best practices and is proficient with Quick Books Online.
- Is proficient in AP, AR, General Ledger Accounting, Expense Tracking, Construction AIA Billings, Lien Waivers, and Expense Tracking.
- Coordinates requests and tracks critical account paperwork including certificates of insurance, tax forms, and OSHA Logs
- Routinely works with Financial and WIP Reports, reconsiles bank statements, and process payroll on a bi-weekly basis.
- Takes Ownership of the office organization – including samples, job files, and office supplies.
- Supports Project Management and Superintendent staff with task management, logistical support, and accommodation arrangements.
- Coordinates work with Project Management Team, Suppliers, Subcontractors, and Customers
- Answers the phone, screens calls, and directs accordingly.
- Takes a proactive, positive approach to managing tasks across multiple projects and strives to meet deadlines.
- Consistently understands when to ask for assistance or guidance.
- Attends company meetings as required
· The Accounting/Admin Assistant will receive direction from, and report directly to the President and/or Vice President.
· The Accounting/Admin Assistant will communicate and work alongside the Project Manager(s) and Superintendent(s) on a regular basis.
JOB QUALIFICATIONS
Education:
Associate’s or bachelor’s degree in accounting or similar field preferred
Experience:
Minimum of 2-4 years’ experience in construction accounting & Quick Books online with proven administrative skills required.
Skills, Knowledge, Abilities:
· Strong organizational skills are required to communicate effectively with team members, customers, vendors, and suppliers.
· Must be proficient in Quick Books Online, Word, Excel, Outlook, and Adobe or Bluebeam.
· Must have a strong working knowledge of general accounting principles and proven work record with AP, AR, and payroll practices.
· Knowledge of Access and PM Software (Contractor Foreman, Pro Core, Plan Grid, Bluebeam, etc.) is a plus.
· Must be able to prioritize and plan a large workload and ensure high priority items take precedence.
· Must comprehend project management practices along with general financial planning and overall leadership.
· Familiarity with contract terminology and obligations, mechanics lien laws, AIA billing procedures
Working Conditions:
Work will be performed primarily in an office environment and will rarely require a visit to a jobsite. Project sites will be environmentally uncontrolled and can include working in and around large equipment and materials.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
